CEO-Near Operations Coordinator & Hub – Let's Paint

Let's Paint is growing and we are now looking for a central key person who wants to work closely with the CEO and help drive a company in development.
This is a CEO-near Operations role where you keep the daily flows together, create structure, and ensure that the business runs smoothly – with pace, quality, and service in focus.
You are often the first point of contact for:
- painters
- suppliers
- internal questions
- simple customer dialogues
You receive customers at the office, handle ongoing administration, financial documentation, purchases, and ensure that the office and organization feel professional, pleasant, and well-organized.
In short: you are the hub of the network – with judgment, integrity, and a high sense of service.
What you do in the role
CEO-near support & coordination
- Relieves the CEO in operational daily work
- Filters and catches questions from painters and the internal team
- Handles parts of the CEO's email inbox according to clear guidelines
- Follows up on cases so nothing is forgotten
- Participates in meetings when needed and takes minutes
Economy & administration
- Collects and structures receipts, documentation, and expense reports
- Ongoing dialogue with the accounting firm (Aspia)
- Supports in simpler economic tasks according to the CEO's priorities
Structure, ISO & quality
- Operational responsibility for ISO work in the existing structure
- Keeps order with documents, versions, and routines
- Works with processes, checklists, and documentation
- Updates our internal system for painters
- Ensures that Let's Paint has order & clarity in quality work
Office, service & culture
- Responsible for the office being clean, pleasant, and welcoming
- Weekly office cleaning (vacuuming, trash, toilet, dishwasher, etc.)
- Handles purchases (consumables, coffee, materials, kiosk, etc.)
Plans and coordinates:
- training
- team activities & social events
- internal information
- Helps put together KMA folders for projects
Purchases & practical tasks
- Makes purchases in-store or online according to purchasing routines
- Handles matters such as mail, pickups, returns, and practical logistics
Communication & interaction
- Communicates warmly, clearly, and professionally
- Represents the CEO in simpler dialogues
- Ensures quick answers and a good experience for everyone contacting Let's Paint
- Ensures that internal communication really gets through and is understood

Requirements
- Driver's license B
- Very good Swedish in speech and writing
- Good computer skills and digital understanding
- High integrity and good judgment
- Handle many parallel tasks
- Positive, cooperative, and confident
Meritorious
- Similar coordinating / service-oriented role
- Experience with financial documentation
- ISO, quality, or document control
- Construction, crafts, or service industry
- Social media
