HR Administrator – Consulting Assignment 2026–2027

We are currently seeking an experienced HR Administrator for a long-term consulting assignment.

  • Scope: Full-time 100%
  • Start Date: 2026-05-04
  • End Date: 2027-03-30

You will be employed by Poolia but will work on-site at our client's location.

About the Role
Remote work is possible upon agreement with the manager, up to two days per week.

Key Responsibilities
Your main duties will include:

  • Administration of cases in the HR system Primula.
  • Posting of salaries in close collaboration with managers, researchers, and project accountants.
  • Conducting monthly payroll controls.
  • Handling all HR-related matters, including recruitment ads, employment decisions, and salary issues.
  • Issuing various types of certificates, such as insurance and employer certificates.
  • Supporting managers and employees on personnel matters, including work permits, insurance, and employment issues.
  • Monitoring fixed-term employment contracts and applying labor law regulations.
  • Key contact for practical aspects of on- and offboarding for employees and guests, such as access cards, SIM cards, SU accounts, PO boxes, and lockers.
  • Support for international employees arriving in Sweden, including contacts with the Swedish Migration Agency, Swedish Social Insurance Agency, Swedish Tax Agency, and the Research Council for Taxation.
  • Coordination and administration of guest researchers.
  • Administration related to doctoral defenses (disputations).
  • Backup support for expense claims and travel accounts, serving as the contact person for the travel agency Amex.

Other administrative tasks may arise. You will report to the Administrative Manager and HR Manager and work in close collaboration with the administrative unit.

Who Are You?
To be considered for this role, you must meet the following criteria:

Must-Haves:

  • Previous experience in personnel administration, payroll, or equivalent.
  • A university degree or other education deemed equivalent by the employer.
  • Proficiency in Swedish and English, both written and spoken.
  • Proficiency with the MS Office suite.

Nice-to-Haves:

  • Experience with the HR system Primula.
  • Experience working within the public sector.
