Consultancy Assignment: Experienced Administrator for the Swedish Procurement Agency
We are currently seeking an experienced administrator for a long-term consultancy assignment.
- Scope: Full-time 100%
- Start: Immediate (latest May 15th)
- Duration: Until May 30, 2027, potentially longer.
You will be employed by Poolia but work on-site at our client's premises in excellent facilities. Some remote work is possible.
About the Role
You will work as support to the department head, unit managers, and staff within the department, as well as to your colleagues in the executive office. The support required varies and may include, among other things, travel bookings, survey distribution, departmental orders, meeting and conference bookings, and simple HR administrative tasks.
Additionally, you will collaborate with colleagues in the executive office responsible for system administration and controlling, as well as independently manage one of the department's systems. We expect you to be collaborative, communicative, and unpretentious. You should appreciate structure and order, have the ability to quickly grasp new issues, and possess a good understanding of and the ability to independently work with new system tools.
Your Main Responsibilities
- Responsible for obtaining confirmations from other public entities wishing to join the Swedish Procurement Agency's framework agreements. This correspondence takes place via web forms, as well as by phone and email.
- Management of the National Board of Antiquities' call-off service for interpretation services, which involves contact with suppliers and users, both existing and new.
- Booking and planning of conferences, internal and external, of varying sizes.
- Assistant to the department head and, when needed, unit managers. This may include meeting bookings, contact with external parties, and phone duty.
- Purchasing manager for the department. All departmental orders go through the department administrator. This may involve ordering IT equipment, literature, and more.
- HR Administrator. The department administrator is responsible for assisting in reporting sick leave for employees when needed.
Who Are You?
To be considered for the role, you need to meet the following criteria:
- High school diploma or equivalent education
- Very good knowledge of MS Office or equivalent
- At least three (3) years of work experience as an administrator/assistant
- Ability to communicate fluently in Swedish and English, both verbally and in writing
Previous experience in a similar role at a government agency is an asset.
