About the assignment
We at Novare are a proud and approved supplier for one of the National Board of Administration's (Kammarkollegiet) framework agreements. We are now seeking an administrator for an authority in Stockholm.
The authority is currently in need of an administrator. As an administrator at the authority, you will primarily work in a supporting role to the department head, unit managers, and colleagues on the department. This may include, among other things, travel bookings, survey distribution, ordering for the department, meeting and conference bookings, simple personnel administrative tasks, etc. Additionally, you will collaborate with colleagues in the secretariat responsible for system administration and controlling, as well as independently manage one of the department's systems.
For this position, we are looking for someone who is willing to collaborate. You are communicative, unpretentious, and structured. Furthermore, we see that you find it easy to navigate digitally and have the ability to organize your own work.
Examples of general tasks
- Responsible for obtaining confirmations from other public entities wishing to join the State Procurement Agency's framework agreement. This correspondence takes place via web forms, but also via telephone and email.
- Management of the call-off service for interpretation services, which includes contact with suppliers and users, both existing and new.
- Booking and planning of conferences, internal and external, of varying sizes. Assistant to the department head and, if needed, unit managers. This may include meeting bookings, contact with external parties, and telephone duty.
- Purchasing manager for the department. All orders for the department go through the department administrator. This may include ordering IT equipment, literature, and more.
- Responsible for the introduction schedule for new employees.
- Personnel administrator. The department administrator is responsible for assisting in reporting sick leave for employees when needed.
- Supporting other colleagues in the secretariat in their tasks – system administration, controlling, etc.
Requirements for the position
- High school diploma or equivalent education
- Very good knowledge of MS Office or equivalent
- At least three (3) years of work experience as an administrator/assistant
- Ability to communicate fluently in Swedish and English, both orally and in writing
- Knowledge of survey tools
- At least 1 year of experience working in the public sector
Desirable qualifications
- Relevant academic education
- Experience with procurement issues and supplier contacts
- Experience in system administration of digital systems, system support, and good IT competence
Assignment period and scope
The assignment is full-time, office hours, starting immediately, and lasts for 12 months, with the possibility of extension. The location is at the authority in Stockholm with some possibility for remote work.
