Welcome to us! About the workplace
The Finance Unit is the municipality's central support and management function within finance, purchasing, procurement, and local planning. We are a team of 16 employees, consisting of economists, procurement officers, and administrators. Both men and women of various ages work here. The team has good cohesion, is easy to laugh with, and enjoys something nice with coffee.
The unit is responsible for the entire process – from procurement and purchasing/orders to payment, bookkeeping, and follow-up. In recent years, we have implemented several changes in our working methods, focusing on digitization and automation. The aim has been to reduce unnecessary administration and create more efficient and quality-assured workflows.
Your tasks
Do you want to work in a broad and varied role where you are a key person in the municipality's purchasing and payment processes? With us, you will work closely with the operations, the procurement unit, and our suppliers – always focusing on creating order, efficiency, and security in our administrative flows.
You will support buyers in purchasing from the right suppliers and ensure that the purchasing and payment flows work smoothly and securely from start to finish.
In addition to working with accounts payable and e-commerce, the assignment also includes certain tasks related to customer invoicing, claims management, monthly reconciliations in bookkeeping, and internal billing.
You will also manage permissions, settings, and configurations in the background of our systems and ensure that flows and functions work as they should.
As a financial administrator with us, you will play an important role in our team of three financial administrators. You will also have the opportunity to perform other tasks within financial administration, as we support each other during absences and peak workloads.
You will among other things:
- continuously work with accounts payable: manage new suppliers, review, coding, matching, and discrepancy handling of supplier invoices
- support and educate buyers and managers on issues related to purchasing, contracts, and e-commerce
- be the contact person for our suppliers
- follow up that purchases are made from contracted agreements
- contribute to the development of routines and working methods
- handle system administration, such as permissions and system settings
- perform ongoing monthly reconciliations
- manage reminders and claims management
- be responsible for certain customer invoicing and internal billing
About you
We are looking for someone who has a good sense of service and enjoys a role with many contact points. You easily create good relationships and enjoy being a support to the operations. We are looking for someone with a relevant post-secondary education in finance or other competencies that we assess as equivalent, and a good understanding of accounting and bookkeeping. It is advantageous if you have experience with similar tasks within municipal operations and are an experienced system administrator.
You have good knowledge of the Office suite, especially Excel. We primarily work in Visma Business System and Proceedo for purchasing and invoice management, but also EDP Future for the business-driven operations within water, sewage, and waste.
