Do you want to be a key person in our purchasing organization and contribute to more efficient and sustainable procurement?

We are now looking for a meticulous and solution-oriented purchasing administrator who wants to make a difference.

You will play an important role in creating conditions for good economic management and sustainability, as well as ensuring effective and equitable support to the management's leaders and operations.

The Department for Support for Persons with Disabilities has centralized its purchasing organization, providing us with a strong foundation to carry out cost-effective and environmentally conscious purchases that support both the city's and the department's goals.

The finance department consists of six units: purchasing and procurement, finance, property, and three administrative units. We have a close and well-functioning collaboration between the units and strive to provide professional and uniform support across the entire department. The purchasing and procurement unit consists of 3 procurement officers, 15 purchasing administrators, 1 contract controller, and 2 administrators & 1 accounting economist for accounts payable.

As a purchasing administrator in the purchasing and procurement unit, you will be a key person in the daily handling of purchases and related administrative tasks. The work also involves close collaboration with the department's procurement officers.

What you will do:

  • Work in the purchasing and procurement system Proceedo and ensure that purchases and orders comply with our internal guidelines and adhere to the Public Procurement Act.
  • Handle various types of orders in Proceedo and direct procurements.
  • Ensure that purchases are efficient and transparent.
  • Be responsible for fast and accurate invoice processing.
  • Provide support and advice on purchasing issues and create smooth flows for the purchasing organization.
  • Play an active role in following up and ensuring that suppliers meet the set conditions.
  • Participate in the development work regarding work processes for purchasing and procurement in the department.
  • Actively work with environmental and sustainability issues in line with the political goals set by the City of Gothenburg.

As we have a shared responsibility for the tasks within the unit, the tasks may change over time, and there may be additional and non-ordinary tasks during certain periods. Therefore, it is required that you are flexible and cooperative.

Qualifications

We are looking for someone who has completed secondary or post-secondary education with a focus on administration or economics. Alternatively, education and experience that the employer deems equivalent. It is advantageous if you have post-secondary education related to public administration and/or procurement.

You need to have experience in administrative work within public administration/authorities. It is a plus if you have also worked with purchasing and procurement within public administration. You should have good computer skills, good experience with IT operational systems, and have worked with the Office suite and Microsoft Excel. It is advantageous if you have documented experience working in the operational system Proceedo. It is important that you have a good ability to express yourself in Swedish, both orally and in writing.

It is beneficial if you understand that in the purchasing area, compliance with the Public Procurement Act must be ensured.
