Registrar at the Swedish Customs
Do you want to work in an authority with an important social mission and a developing operation? The Swedish Customs contributes to creating a safe and secure society.
We are looking for a service-oriented and meticulous registrar for the unit of information and archive management. Currently, the registry function consists of a team of four registrars. The registry function is in the midst of a transformation – moving from a focus on case registration to document controlling and an increased focus on registry maintenance and training. We are now seeking an additional registrar to strengthen the team so that existing staff can focus on development and improvement in the coming years.
About the position
As a registrar at the Swedish Customs, you have a central role in the authority's case management. You work in a team of registrars that support the authority's various operations in registry matters and have close cooperation with the archive function and legal advisors. Together with your colleagues, you will handle the physical and digital mail management for the authority in our case management systems, which involves registering public documents in our agency registries, archiving, and being responsible for the Swedish Customs' official mailbox. You will also provide guidance and support to the operations regarding the disclosure of public documents. As a registrar, you contribute to the democratic process regarding transparency, uphold the integrity of information, and create and maintain order among the authority's public documents.
The position may also include other tasks within the unit depending on your background and interests.
We are looking for someone who has:
- Post-secondary registrar education, education in archival science, or equivalent education deemed comparable by the employer
- Several years of experience working as a registrar within public administration
- Good knowledge of the laws and regulations governing information management within public administration, such as the Public Access to Information and Secrecy Act and the Administrative Procedure Act, as well as basic knowledge regarding the handling of personal data
- Very good ability to express yourself in spoken and written Swedish
- Good knowledge of English to read and understand texts
- Good computer skills and interest in IT-related issues concerning registry and case management systems
- Swedish citizenship
It is meritorious if you have:
- Knowledge of the Security Protection Act
- Experience working with security-classified documents
- Experience working in various registry and case management systems

The role of registrar involves many contacts both internally and externally and requires you to be service-oriented, relationship-building, and methodical in your work. You are unpretentious and comfortable working independently while also enjoying being part of a team and collaborating easily. You do this by sharing knowledge with your colleagues and seeking knowledge from others. Furthermore, you have an open mind and are accommodating in your interactions and in your role as a support function. In your role, you will handle information that requires high integrity and a security-conscious approach. You have the ability to be detail-oriented while maintaining a holistic perspective. You plan and organize your work efficiently and can quickly adapt when circumstances change and can ramp up if needed. Finally, we see that you should be flexible and open to change as our operations are developing and we are constantly reviewing our working methods.

The Legal Department is responsible for legal governance and legal support within the Swedish Customs. The department is divided into four units: the unit for information and archive management and the three legal units; the unit for customs law, the unit for physical control and criminal law, and the unit for general administrative law. The department currently has just over 65 employees located in Stockholm, Malmö, Gothenburg, and Luleå. The department is led by the authority's chief legal officer and each unit has a unit manager. The unit for information and archive management is responsible for the Swedish Customs' main registry (agency registry), e-Archive, and central archive, and provides support to the Swedish Customs' staff on information management issues. The unit also contributes expertise in development projects and system management.
