The Elderly Administration is responsible for city-wide issues concerning elderly care, as well as for coordinating, developing, and monitoring elderly care in the city in dialogue with the district committees.

Based on political decisions and in close cooperation with the city's management, the Elderly Administration coordinates the development of the city's elderly care together with relevant municipal agencies, district administrations, municipal companies, and private providers. The administration is responsible for deciding on, installing, and responding to emergency alarms as well as installing and servicing keyless locks in home care. The administration also handles emergency cases in the evenings, nights, and weekends and manages the choice system for Stockholm's municipal care and service housing. Here we work closely with individual Stockholmers in thousands of conversations and meetings every day. The Elderly Administration has about 160 permanent employees distributed across four departments and one unit.

Welcome to us

The Administrative Department works across the administration to provide support and develop processes within the areas of operation; committee and registration, finance, coordination ILS, legal issues, HR, procurement, premises, and other administration. The department consists of 14 employees and one manager.

As our registrar is on parental leave, we are looking for a substitute from May to September 2026. You may be at the end of your training to become a registrar/document controller and ready to apply your new knowledge.

Your role

As a registrar at the Elderly Administration, you will work with the administration's information and document management. In your role as a registrar, you will evaluate information, register, ensure quality, and provide public documents.

Your main tasks will be:

  • Monitor the administration's official functional mailbox.
  • Register incoming and created public documents.
  • In collaboration with the administration's lawyer, support case handlers in confidentiality assessments and the release of public documents.
  • Support the operations in matters concerning public documents and registration.

In the administration, there are also the following roles that work with the administration's information management; committee secretary, information security coordinator, lawyer, data protection officer, and archivist.

Your skills and experience

We are looking for someone who has:

  • Post-secondary education with a relevant focus such as registrar/document controller.

It is advantageous if you have:

  • Current and relevant experience as a registrar/document controller.
  • Worked in a case management system.

You have knowledge of the laws and regulations that govern municipal decision-making, such as the Local Government Act, the Administrative Procedure Act's service obligation, as well as the regulations on transparency and confidentiality and GDPR.

You appreciate collaboration, enjoy having many different contacts, and have a service-oriented approach. You can independently drive your work forward and are meticulous. To thrive in the role, it is also important that you have patience for occasionally repetitive work.
