About the company

Region Stockholm has the overall responsibility to ensure that everyone living in or visiting the region has access to a well-developed, easily accessible, and reliable public transport system. The mission of the Traffic Administration (TF) is to prepare and implement decisions regarding the direction and scope of a long-term sustainable public transport. Additionally, we are responsible for the management and follow-up of traffic operations as well as maintaining the functionality, safety, and value of the infrastructure. Every day, more than 700,000 people travel using public transport, including the subway, buses, commuter trains, and local trains.

About the assignment

We are looking for an experienced Administrator for the subway section.

As an Administrator, you will work on several different projects within the subway section. The Administrator should assist the client and contribute to streamlining operations by supporting employees and creating structure. The Administrator needs to have good prioritization skills and the ability to work on many tasks simultaneously.

You will work both strategically and operationally and act according to TF's and IP's structure and culture.

To perform the tasks, the ability to understand technical Swedish in both spoken and written form is required.

 

Examples of tasks:

  • Perform document management according to TF's routines and guidelines.
  • Register documents in SLL's system EDIT and assist with requests for public documents from external parties.
  • Book meetings and travel arrangements as needed.
  • Administer project tools, such as permissions, new users, functions, etc.
  • Handle orders for IT and office supplies, access cards to facilities, etc.
  • Invoice management and coding of incoming invoices in TF's financial management system Agresso.
  • Quality assure the documentation for invoices.
  • Control reported hours from various consultants and contractors.
  • On/Off-boarding of project members.
  • Assist with organization-specific introductions for new personnel.
  • Assist in the procurement and termination of consulting assignments.
  • Guide in administrative method support and administrative routines.
  • Participate and contribute to the development of TF's administrator network.
  • Be helpful with tasks as needed by the nearest manager/project leader.

 

Important qualities of the administrator:

  • Outgoing and willing to provide good assistance to the manager/project leader
  • Good communication skills in both spoken and written form
  • Structured and meticulous
  • Good collaborative skills

Competence requirements

  • You must have at least a high school diploma.
  • You have at least 8 years of documented experience as a program or project administrator in public transport, infrastructure, urban planning, vehicles, IT.
  • You have at least 5 years of experience in case and document management (planning, folder structure, registration, and archiving).
  • You have at least 7 years of experience in invoice management in Agresso or similar invoice management systems (coding invoices and handling re-invoicing/sales orders).

Value-added requirements

  • 5 years of work experience in EDIT (Paltina) or equivalent registration systems
  • 3 years of work experience as a project administrator in public sector.
  • 3 years of experience administering one of the leading web-based administrative tools for project collaboration, such as Avima, Sharepoint, or similar.

Assignment period: 1/6 2026 - 31/12 2027

Extension option: 1+1+1+1+1

Scope: 100%

Location: Stockholm, Kungsholmen
