As a committee secretary and data protection officer

you belong to the unit of secretariat and staff within the HR, staff, and urban environment department. The unit consists of 12 employees of varying ages and encompasses competencies in areas such as registration and archives, law, data protection, security, investigation, association grants, environmental and climate issues, and committee administration. Within the committee secretariat, there is also a committee secretary/administrative lawyer responsible for the district committee.

Your role

In this role, you have three main assignments; committee secretary for the social delegation, data protection officer, and registrar. The position is divided into approximately 40 percent committee secretary, 40 percent data protection officer, and 20 percent registration.

In the role of committee secretary, you are an important link between politics and the service organization. Your work involves both administrative and legal tasks, where you ensure that processes are carried out in a correct and legally secure manner. You will work closely with the committee secretary for the district committee, and the work includes covering for each other as needed. You will work strategically with routines and templates and provide training as needed. In the role of data protection officer, you will act as an advisor to the administration's employees and managers on data protection issues. You will also review the administration's work with personal data and data protection. As a registrar, you will be responsible for monitoring the administration's general function mailbox, fax, and incoming mail, and registering incoming and outgoing public documents.

Your tasks will include:

  • Ensuring that committee administration and meetings for the social delegation are conducted smoothly, correctly, and legally
  • Sending invitations and documents, writing minutes, and dispatching decisions
  • Being responsible for the annual review of the administration's data protection work to the committee
  • Providing advice and information on data protection issues to the administration
  • Supporting the establishment of personal data processing agreements
  • Monitoring the administration's general function mailbox, fax, and incoming mail
  • Registering incoming and outgoing public documents as well as public documents created within the administration that need to be archived
  • Coordinating requests for the release of public documents that come into the registration office

Evening work may occur in connection with committee information, area meetings, and district committee meetings.

Your competence and experience

As a person, we are looking for someone who is independent in their work and at the same time has a good ability to collaborate with others as the role involves many contact points within the administration. To handle the breadth and responsibilities of the role, we wish that you are structured and stable with a good ability to prioritize between different tasks, as well as flexibly adapt to changing conditions. You take personal responsibility to meet set deadlines and work carefully to ensure good quality in everything you do. Supporting and providing a good reception is something you see as a matter of course.

We are looking for you who have:

  • A completed academic degree, preferably with a focus on public administration, political science, or law
  • Relevant previous experience as a committee secretary, or other qualified tasks within the municipality or public administration that the employer assesses as equivalent
  • Basic knowledge of data protection issues (GDPR)
  • Knowledge of the Public Access to Information and Secrecy Act
  • Very good communication skills in Swedish, both spoken and written

It is meritorious if you have:

  • Documented experience and/or knowledge from working with data protection issues (GDPR) as a data protection officer or equivalent
  • Previous experience in registration, with good knowledge of archiving and regulations as well as the processing process for the release of public documents
  • Experience with document and case management systems, such as eDok (Platina)
