Job Advertisement: Administrator for Research Projects
The Total Defence Research Institute (FOI) is a government agency conducting world-leading research in defense and security to support Sweden's military and civil defense. The research spans several areas, including underwater, cyber defense, space, electronic warfare, sensor systems, civil defense, CBRNe (chemical, biological, radiological, nuclear, and explosive substances), military platforms including weapons and protection, as well as security policy analyses. FOI's research plays a key role in building Sweden's defense capability.

About the Position
In this role, you will support project leaders in various phases of grant-funded projects. You will do this by participating in and coordinating the application work regarding the department's applications to, for example, the European Defence Fund (EDF). You will assist project leaders in preparing applications and in contacts with research funders, consortium coordinators, and other partners. When an application is approved, you will help the project leader with the administration related to the start-up of the project activities and thereafter support the project leader as needed with administrative and finance-related support in the project.
The work includes all types of project administration, documentation, and record-keeping. Your tasks will also include actively participating in project meetings and giving presentations. In connection with EU audits, you will be the contact person for the auditor and assist with compiling the requested information.
In this role, you will also support the department management with various administrative tasks, such as decision-making materials. You will also have contact with various parts of the agency, such as legal, finance, communication, etc.
About the Unit
You will be part of the secretariat in the Defense Technology department. The secretariat staff is part of the department's daily operations by supporting managers and having close dialogues with project leaders and other employees. The secretariat currently consists of a department secretary, several unit administrators, case officers, and department economists. The department consists of nearly 300 employees who work with fundamental and applied research to support Sweden's total defense. The work location is Kista in Stockholm. The work mainly takes place on-site due to the nature of the operations. Do you have the competence profile we need?
Requirements
We see that you have:
- a university degree in a relevant field (e.g., economics, law), or equivalent work experience that the employer assesses as equivalent.
- experience with finance-related tasks concerning grant projects,
- experience working with externally grant-funded projects, e.g., EU/EDF projects,
- very good knowledge of Swedish and English in speech and writing,
- the ability to handle complex texts,
- very good knowledge of MS Office (specifically PowerPoint and Word).
We will place great emphasis on your personal qualities and are looking for someone who is structured, has very good communication skills, and finds it easy to collaborate with colleagues and external parties.
Meritorious
It is meritorious if you have:
- experience working with EDF applications/contracts,
- experience working in a research organization,
- experience working within a government agency or other public sector organization,
- language skills beyond Swedish and English,
- worked in a security-classified environment.

The position is a permanent employment that may begin with a six-month probationary period.
