Administrator for the Administrative Unit

About the Position

With us, you will be part of a competent team with varied assignments. You belong to the Staffing Unit within the Administrative Unit and work alongside colleagues responsible for staffing and managing short-term absences. As an administrator, you are a central support function that contributes to the effective and legally secure operation of daily activities.

The assignment involves relieving managers and operations through coordination and practical support, allowing them to focus on leadership, quality, and operational development. You manage absences, vacancies, and changes both in the short and long term, ensuring that laws, agreements, and internal guidelines are followed in close collaboration with managers and employees.

Examples of Job Duties:

  • provide administrative support to the unit manager in daily operations
  • support managers and operations in planning, staffing, scheduling, and substitute management
  • receive and register sick leave from employees in various operations
  • work with staffing by coordinating existing resources or appointing substitutes based on operational needs
  • support and guide operations in matters related to planning and short-term absences
  • provide support in matters related to delegations
  • assist managers with scheduling-related issues

About the Workplace

The Administrative Unit within Functional Support is responsible for providing managers with support in various administrative processes. The unit consists of 16 administrators, 1 administrative coordinator, and a unit manager. Eight administrators work within the staffing track, and nine administrators work within the administration track. We work activity-based in newly renovated, fresh premises at Åbylunden 1 located in Örnsro.

We provide ongoing administrative support to unit managers in their daily work and assist managers and operations with planning and follow-up in finance, staffing, scheduling, and substitute management. We conduct training initiatives for both managers and employees focusing on scheduling, finance, and purchasing. The unit also handles personnel administration, such as employment documentation, permissions, and certificates. Through our work, we contribute to structure, order, and high quality in administrative processes.

The Social Administration's Functional Support area provides support and services to individuals with physical and mental disabilities according to the Act on Support and Service for Certain Disabled Persons (LSS) and the Social Services Act (SoL).

Qualifications

As a person, you have the ability to take responsibility for your tasks, prioritize, and organize work effectively. You need to be able to handle and switch between different tasks simultaneously. To fit the position, you should also have the ability and find it meaningful to collaborate with others. You are service-oriented and can handle most unforeseen events calmly and professionally. Furthermore, you master the Swedish language in such a way that you can communicate with employees, unit managers, operations, and other staff, as well as document in writing what the unit requires.

We place great emphasis on personal suitability.

Requirements:

  • high school education or vocational training in a relevant field for the position, such as administration, finance, or longer experience that the employer assesses as equivalent
  • work experience and good knowledge of the scheduling system Medvind
  • work experience with the target group within the functional support area

Meritorious:

  • work experience in operational support in staffing issues regarding the management of short-term absences

Scope and Start Date

Employment type: temporary position

Employment rate: 100%

Start date: May 15 or by agreement until June 2027

Number of positions: 1

Working hours: daytime and every other weekend
