About the job as an office coordinator

As an office coordinator at our client, you will be a central part of the daily internal service. You provide service to the organization and ensure that premises, equipment, and workflows operate smoothly - from mail handling and access control to meeting rooms and invoices. The role suits you who thrive in a varied everyday life, take responsibility, and have an eye for both details and the big picture.

Common tasks include:

  • Ongoing work within office service/internal service
  • Collection and distribution of mail; unpacking materials and shipments
  • Receiving and handling goods and packages
  • Assisting with moving and furnishing
  • Preparing premises and equipment for meetings and conferences
  • Responsible for servicing e.g. photocopiers
  • Printing and sending mass print materials; inventory of reports/course materials
  • Troubleshooting regarding properties, reporting and following up issues with property owners/property managers
  • Access control and receiving visitors
  • Documenting actions and keeping order in matters
  • Reception work and visitor service
  • Ordering office and cleaning supplies
  • Invoice management

The candidate we are looking for

We are looking for someone with a solid background in internal service/office service who enjoys providing proactive service in a public organization. You are structured, responsible, and used to switching between practical tasks and administrative workflows. Your communication skills and calm demeanor help you build trust when meeting both visitors and colleagues.

Requirements for the position

  • At least 3 years of work experience as a janitor/service employee (or equivalent) in the public sector
  • Driver's license class B
  • Basic knowledge of MS Office (or equivalent)
  • Basic knowledge of case management systems
  • Very good knowledge of Swedish, spoken and written
  • Experience in handling incoming cases

It is considered an advantage if you have work experience as a service employee (or equivalent) from a government authority.

  • Responsible, self-driven, and collaborative
  • Confident in meeting visitors and experienced in representing the organization at reception/front desk
