Järfälla has the most exciting geographical location in northern Stockholm and is growing rapidly. The Community Building Administration in Järfälla Municipality has a broad mandate responsible for everything from early stages in the community building process to operation and management. We are over 320 employees who work together for the operations under the Environmental and Building Committee, Technical Committee, and Municipal Executive Board. Järfälla is an expansive municipality, growing both geographically and organizationally.

Our organization is in a development phase where we are improving our working methods and developing a more cohesive municipality. We have a positive work environment in the department, which is also reflected in good results from our employee surveys.

The Land and Development Department is relatively new and has been formed through the merger of three units. The department is now working to create common working methods and a strong shared culture. Within the department, the Project Development Public Space unit is responsible for the design and expansion of public spaces in our projects. The Project Development Exploitation unit is responsible for landowner and exploitation issues.

We are now looking for a project coordinator who can be the department's spider in the web.

RESPONSIBILITIES

As a project coordinator, you have a central, coordinating, and administrative role in both the project and department organization. You report to the department head and project manager. You work closely with the project manager, the department's management team, and the lead project manager, contributing to creating structure, quality, and good foresight in the operations.

Your role includes, among other things:

  • Providing administrative and coordinating support to the department's managers and management team, for example through meeting planning, invitations, minute-taking, and follow-up
  • Coordinating and administering project-wide processes such as resource planning, quarterly reviews, status reports, and follow-ups
  • Working with the overarching project tools and administrative systems, including permissions, user management, and developing routines
  • Managing and coordinating documentation, contracts, referrals, logs, templates, and information dispatches within projects and the department
  • Performing general administrative tasks and providing ongoing operational support on behalf of the project manager and department management
  • Responding to and coordinating incoming inquiries from the public, other authorities, and external actors
  • Collecting, compiling, and following up statistics related to exploitation and project activities
  • Coordinating study visits, information meetings, and other internal and external activities
  • Contributing to collaboration and development between the project, department, and other municipal administrations

QUALIFICATIONS

We are looking for someone with post-secondary education in, for example, community building, economics, administration, or other education that the employer deems relevant. You have experience in qualified administrative work or project support, preferably within community building, real estate, infrastructure, or public operations.

It is an advantage if you have experience with:

  • Working in project organizations
  • Public operations or municipal organizations
  • Project tools such as Antura or similar systems
  • Contract administration and follow-up

To succeed in this role, you need to be structured and goal-oriented. You work according to clear processes, plan and organize your work well, prioritize effectively, and ensure that tasks are completed with good quality and within given time frames.

You thrive in a coordinating and collaborative role with many points of contact and find it easy to build good relationships with different professions and functions. With an unpretentious and service-oriented approach, you contribute to good collaboration and achieving common goals.

You are also solution-oriented and have good problem-solving skills, which means you quickly identify challenges and find practical solutions that create progress. The role places high demands on communication and documentation, and therefore you express yourself clearly and professionally in both speech and writing in Swedish.
