The Municipal Executive Office's mission is to lead, manage, monitor, and provide effective support to all committees and operations, which includes overarching support functions in finance, personnel, and administration. The Municipal Executive Office also includes the Technology and Service Department, the Department for Business and Development, as well as our Culture and Leisure Department. Currently, we have about 100 employees in the Municipal Executive Office, and the municipality as a whole has about 650 permanent employees.

The Administrative Department consists of investigation secretaries who work with committee administration, the municipality's contact center responsible for the municipality's switchboard, reception, mail, and handling certain cases, as well as the South Närke Archive Unit.

JOB DESCRIPTION

Lekeberg Municipality is now seeking a registrar for our Administrative Department. With us, you will have the opportunity to work in a dynamic and developing environment where you can both collaborate in teams and work independently. The position of registrar is newly established, and you will be involved in shaping the role in collaboration with colleagues in the department. The role is a central function that works with all of the municipality's committees and manages registration and information management for both the Municipal Executive Board, the Children and Education Committee, the Social Committee, and the South Närke IT Committee. You play a central role in ensuring that our processes comply with applicable regulations and guidelines.

Your responsibilities include, among others:

  • registering cases in our case management system
  • monitoring the committees' email
  • issuing public documents and assessing confidentiality
  • contributing to secure and accurate information management within the municipality
  • handing over cases to the archive unit
  • conducting training and providing guidance to the operations
  • possibly serving as secretary for councils
  • ensuring that registration is done according to applicable legislation and the municipality's guidelines
  • quality assuring and structuring the document flow within the organization
  • providing support and guidance to the municipality's operations regarding case management, registration, and the principle of public access.

QUALIFICATIONS

We are looking for someone who has:

  • an academic degree from a university in archive and information science, public administration, political science, or another education that the employer deems suitable for the assignment
  • good knowledge of the laws and regulations governing the handling of public documents within public administration
  • documented experience working as a registrar in the public sector or other experience that the employer deems equivalent
  • well-developed communication skills and a good ability to express yourself both verbally and in writing in Swedish
  • high IT proficiency and feel comfortable using various digital system supports in your work
  • experience working with the Office suite.

The position is classified in a security class, which means a requirement for Swedish citizenship and an approved security clearance according to the Security Protection Act.

It is advantageous if you have experience with:

  • digital solutions for registration and information management
  • handling PDF documents with Adobe Acrobat Pro
  • the case and document management system Platina.

For this position, we see it as particularly advantageous if you have experience working with public access and confidentiality legislation, GDPR, and digital case management systems.

To have the best prerequisites in this role, you need to be meticulous, structured, and able to plan and prioritize your work. You thrive in a role where you can create new contacts and build relationships that enable good collaboration. You have excellent collaboration skills and relate to others in a responsive and smooth manner. We expect you to have good administrative skills and can handle many tasks simultaneously.
