About the assignment

We are now looking for a coordinating administrator for our client in Gothenburg for a longer assignment starting April 1, 2025, until December 31, 2026. The assignment is part-time, 50%. Due to renovations at the regular workplace, the assignment will be carried out at temporary addresses. The workplace address will rotate between three different locations.

This is a consulting assignment via Bemannia.Your tasks

Currently, there is a larger project within public transport at our client, which has a collaboration organization with three different groups, all working on different aspects. This assignment is intended to be an administrator for the groups to relieve administrative burdens and assist in booking venues for conferences and planning conferences and various activity days. In addition to this, you will:

• Send invitations and book venues for meetings
• Prepare agendas for meetings
• Write minutes during meetings, transcribe them afterward, and send them to relevant recipients
• Plan conferences and activity days (handle the practical/administrative aspects, e.g., set up questions in Menti, organize activities such as quiz walks, etc.)
• Plan planning days for the Preparation Group
• Order refreshments for management group meetings
• Organize and structure presentations
• Create annual plans for the Preparation Group and Management Group
• Organize and structure activity lists

Your qualifications

• High school or equivalent education
• At least three (3) years of work experience as an administrator/assistant (recently)
• Very good knowledge of MS Office or equivalent
