A pivotal coordination role for someone who thrives in a scientific environment

We are partnering with an innovative biopharmaceutical company based in Lund, focusing on pioneering research in immunology and rare diseases. The organization values structure, quality, and collaboration to enable scientific progress and impactful R&D initiatives.

This position is a parental leave cover running until August 2026, with an immediate start to ensure a smooth handover from the current Coordinator. You will be employed by Academic Work and work on assignment at our client’s R&D organization in Lund. As the role needs to be filled promptly, selection and interviews are conducted continuously.

WORK TASKS

The role involves comprehensive administrative and coordination tasks, ensuring smooth operations for executive leadership and Research & Development teams. This includes managing schedules, facilitating communication, handling financial and contractual administration, and organizing key events in a high-stakes scientific environment.

  • Manage agendas and coordinate meetings for leadership and functional teams.
  • Support with presentation materials, information distribution, and meeting summaries.
  • Administer time reports, vacation requests, travel bookings, and expense reports in Aspia.
  • Support contract management, including workflow coordination, vendor communication, and AdobeSign processing.
  • Plan and coordinate internal events or conferences for R&D.
  • Maintain trackers and supporting processes such as MRC/PRC and CMC vial shipment.
  • Act as a point of contact for daily operational support and ensure smooth workflows across the Science and Clinical functions.
  • Be proactive, solution-oriented, and ready to assist with ad hoc tasks as needed.

WE ARE LOOKING FOR YOU WHO

  • Fluent in English, written and spoken.
  • Advanced administrative experience (3+ years), including time management and organization.
  • Proactive, discreet, and professional.
  • Solution-oriented, structured, and able to thrive in a fast-paced, collaborative environment.
  • Strong IT skills and ability to handle multiple tasks and deadlines efficiently.
  • Excellent communication and relationship-building skills.
  • Bachelor’s degree in natural sciences, social sciences, or related field preferred.

It is meritorious if you have:

  • Experience coordinating events and preparing presentations.
  • Interest or knowledge in scientific fields.
  • Previous experience in life sciences or healthcare.
  • Experience with the Aspia system.
  • Ability to manage and set deadlines for senior stakeholders.
