Substitute to Järfälla Municipality's Service Center

Järfälla Municipality's Service Center has been in operation since 2010 and answers questions about all areas of the municipality's operations. The goal of the Service Center is to provide the best possible service to the residents of Järfälla. We receive phone calls, personal meetings, and emails from residents, business owners, and visitors.

JOB RESPONSIBILITIES

We now need to strengthen our team with additional substitutes who are service-oriented and meticulous for the response group for Children, Education, Culture, and Leisure. A perfect job for you who want a social job and are interested in working with issues in these areas.

We are looking for someone who can step in at short notice to cover for illness or planned absences and work peaks throughout the year. Longer periods of work occur during vacation periods; otherwise, it involves occasional days during the week.

As a substitute, you will step in as a service administrator as needed and work to provide qualified information, guidance, and advice to those who contact the municipality. In this position, you will primarily handle cases within the areas of childcare, schools, adult education, culture, and leisure, but also general inquiries about the municipality.

The position involves a lot of contact with citizens and others who contact a municipality, and it is therefore of utmost importance that you respond to everyone who contacts us in a friendly and professional manner. You will log all calls and cases in our case management system, Helpdesk.

QUALIFICATIONS

You should have:

• High school education
• Previous experience in customer service
• Very good computer skills, experience with the Office suite & information retrieval
• Experience working with telephony and case management systems
• Very good knowledge of Swedish and English, both spoken and written
• The ability to simultaneously conduct a conversation while working in IT-based operational systems, searching for and managing information and data.

We prefer that you have:

• Knowledge of how a municipality is structured, organized, and its decision-making processes.
• Previous experience handling customer inquiries via email, calls, and/or visits
• Experience working with guidance and advice on the web or via social media
• If you speak additional languages, preferably Finnish, it is an advantage

Personal qualities:

As a service administrator, you will work broadly with all questions that involve several departments, so you need to be curious about learning about the different areas and be prepared to take the initiative and collaborate with others to help the citizen. You need to be meticulous and accustomed to documenting. We see a high level of service as a given, even when the work pace is high at times. We actively work to maintain a good reception, and we therefore conduct customer satisfaction surveys after each call.

You understand the goals of the organization and do your best to achieve them. You contribute energy and remain motivated to complete the work well even when you encounter obstacles. In our workplace, there are constant changes and improvements; we want to move forward and develop. Therefore, it is important that you are also a flexible person who enjoys change.
