Scouterna is now looking for a junior service administrator for our lovely office in Örnsberg, Stockholm.

About the position

As a service administrator, you will be the first person our visitors meet – an important role where your service mindset and social skills truly come into play. You are the hub of our daily operations and contribute to creating a welcoming and pleasant environment at our office in Örnsberg.

We have about 70 employees from both Scouterna and Scouterna’s Folk High School, along with the school’s students and volunteers. It is a vibrant workplace with many points of contact – perfect for you who enjoy being at the center of events.

In your role, you will among other things:

  • Welcome visitors at the reception and be the face of our organization
  • Handle incoming calls and emails, and provide service to employees, members, and the public
  • Ensure that the office is clean, pleasant, and functional through ongoing maintenance
  • Perform administrative tasks and practical duties that facilitate everyday life for colleagues
  • Be responsible for travel bookings and liaising with travel agencies
  • Send, receive, and pick up packages in the local area

About you

To be able to carry out this job, we see that you meet the following:

  • Education equivalent to a high school diploma
  • Good knowledge of the Office suite
  • Fluent in Swedish, both spoken and written
  • Willing and able to be at the Örnsberg office full-time

It is also advantageous if you have:

  • Experience working in service or administration
  • Experience working with case management systems
  • English proficiency in speaking and writing
  • Engagement in Scouterna or another non-profit organization

You easily build good relationships and navigate comfortably in various social contexts with a positive and professional demeanor. At the same time, you are self-assured and have the ability to handle customer service situations, questions, complaints, and challenges with calmness, confidence, and stability.

Scouterna is a membership organization with a long history of providing children and youth with meaningful leisure activities in Sweden. We who work at Scouterna are located in Stockholm, Gothenburg, Malmö, and Västerås, and we are a total of about 70 employees. As a workplace, we are characterized by a desire to make decisions as close to the operations as possible, which contributes to a strong ownership of what we implement. Scouterna offers its employees pleasant premises, a warm and welcoming atmosphere, and good working conditions.

Scouterna works closely with volunteers at the national level, which means that work may need to take place in the evenings and on weekends. In this position, this is expected to involve occasional weekends and some evenings throughout the year.

How we recruit

The conversation is expected to last about 20 minutes, during which we will review the basic requirements and assess your ability to conduct a professional phone call, as this will be a significant part of the job. The next step will be a competency-based interview with us. We will check references and request a background check on the final candidate.
