The Social Administration in the City of Stockholm has an overarching and coordinating role for social services' individual and family care and the area of disabilities. Here, good conditions are created to meet residents in need of social services support. In close collaboration with the district administrations, we contribute to a modern, digital, legally secure, equal, and knowledge-based social service, and we have a strong focus on development. Within the administration, a wide range of support measures is offered to the city's residents, and the offerings change based on the needs of Stockholmers and the wishes of the district administrations. The work often takes place in close cooperation with other authorities, civil society, and the business community. The Social Administration is also responsible for the city's serving and tobacco permits and carries out supervision.

LSS/SoL Health is now looking for an administrative assistant for a temporary position of about 1 year.

The unit's core mission is to offer municipal primary care to individuals living in special accommodations under LSS or Social Psychiatry and/or who participate in daily activities. In the role of administrative assistant, you are an important cog for our mission to function. You provide close support and collaborate in the daily operations with our coordinating nurses, unit managers, quality managers, and other employees. The unit consists of about 60 employees who work city-wide; our organizational affiliation is with the Social Administration, and the office's geographical location is at Medborgarplatsen.

Your role

In the role of administrative assistant at LSS/SoL Health, your main tasks are to support the unit with administrative duties. You provide close administrative support to the entire unit and are an important cog for our daily work to run smoothly. Your primary tasks include finance-supplier invoices, requisition management, purchasing, and permissions in the financial system Agresso. You are also the unit's authorized purchaser for administrative tools that the unit needs, such as service card management for SITHS cards, Net ID.

Other tasks include being responsible for purchasing/orders and receiving deliveries, organizing the premises, mail handling, and monitoring our telephone/function mailbox. You also provide close support to the unit's managers and other support functions during, for example, the introduction of new employees, booking conferences, and ensuring that our employees have access to the tools they need. The work also includes primary responsibility for the unit's leased cars.

Your qualifications and experience

Necessary education:
High school diploma with a focus on economics.
Desirable education:
Post-secondary academic education
Current and relevant assistant training or other education that the employer considers equivalent. Agresso training is highly desirable.

Necessary experience:
• At least one year of relevant and current work experience.
• You have experience in administrative tasks.
• You have broad experience with the MS Office suite and can work fluently in both Word and Excel.
• You have good computer skills and the ability to manage internal systems and tools.
• You are fluent in Swedish and English, both spoken and written.

Desirable experience:
It is an advantage if you have experience with the City of Stockholm's internal administrative tools, primarily Agresso. It is highly desirable if you have worked as an administrative assistant within the City of Stockholm or another public organization that handles administration related to finance, health care, or social services. Experience with target groups within LSS and/or Social Psychiatry and/or health care is a plus.

Necessary abilities and skills:
We are looking for someone who is structured, service-oriented, and has a good ability to take initiative. You are flexible, enjoy collaborating, and have an eye for improving administrative routines. As a person, you are meticulous, communicative, and have a positive attitude in your work.

It is expected that you have social skills with a relationship-oriented approach. You are expected to have very good social skills and find it easy to collaborate and support colleagues, and you are expected to work independently and drive your own work based on the tasks that need to be performed.
