About the role

TechServices IT is looking for an engaged and structured Office Coordinator / Assistant on a part-time basis to support our team. We are a growing IT company working on both local and international projects. The role is versatile and includes administration, project coordination, and financial support.

Main tasks and responsibilities

  • Administrative support
  • Manage the manager's and team's calendars and schedule meetings.
  • Handle incoming and outgoing correspondence (emails, phone calls, letters).
  • Prepare and organize documents, presentations, and reports.
  • Be responsible for archiving and document management.
  • Project coordination
  • Support project managers with scheduling, budget tracking, and reporting.
  • Create and update project plans and act as a contact person between teams.
  • Personnel and team support
  • Coordinate onboarding processes for new employees.
  • Prepare materials for meetings and internal training.
  • Organize and book team activities and events.
  • Communication
  • Write and distribute meeting minutes.
  • Be the contact person for both internal and external inquiries.
  • Update and maintain information on the intranet and other channels.
  • Logistics and office administration
  • Book travel, hotels, and manage other logistics tasks.
  • Be responsible for purchasing office supplies and equipment.
  • Ensure that the office environment is well-organized and functional.
  • Finance and expenses
  • Handle invoices, receipts, and minor bookkeeping tasks.
  • Follow up on the budget for projects or departments as needed.

Other tasks

  • Identify and solve problems to ensure smooth workflows.
  • Contribute to improvements of internal processes.
  • Perform ad hoc tasks as needed.
  • Requirements and qualifications
  • Experience in administrative work or a similar role (preferable).
  • Strong organizational and time management skills.
  • Good knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
  • Fluent in Swedish and English, both spoken and written.
  • Excellent communication and collaboration skills.
  • Able to handle multiple tasks simultaneously and work under pressure.

  • Employment form: Part-time with the possibility of transitioning to full-time depending on workload.
