Job Responsibilities

With us, you will provide close support to school leaders in areas such as student, staff, finance, information, and government administration. In your role, you will have a central and important function in our office where you act as our face to the outside world and will daily receive visitors, assist and guide students, educators, parents, government officials, and more. Your responsibilities will also include handling student administration, such as registering students, placements, grades, and other student results. You will be responsible for our mail management, record keeping, registration, archiving, etc. You will also work on managing invoices, making entries, purchases, and orders through our financial system Ekot. Tasks related to short-term staffing, including booking substitutes and administration related to the same in the existing IT system, are also part of the role.

During the year, we, together with other schools in Malmö city, will transition to a different IT system for staff scheduling, staffing, and absence (Medvind), as well as a new student register (Edlevo) in the future, and you will be an important cog in the wheel to ensure our transitions run smoothly. At Gottorpskolan, we work for the best school for every student.

As a school administrator, you will be a close colleague with several staff members in the office, but you will also collaborate closely with all staff at the school. Gottorpskolan was built in 2017 and is located in Bunkeflostrand.

Qualifications

You who are applying have at least a high school education or equivalent. We prefer that you have education in the administrative field, preferably related to finance or ICT. Experience with administrative tasks is required for the position, preferably in a school and in municipal operations. It is important that you are structured and systematic in your approach. This means that you are observant and responsive to what needs to be done and can prioritize effectively. You have good collaboration skills, are responsible, and have a professional attitude and demeanor. You have good IT skills and find it easy to learn different systems. You have good Swedish in both spoken and written form. It is an advantage if you have experience working with some of our commonly used IT systems such as H-rutan, Medvind, Ekot (finance), Extens (grades and student registration), Edlevo, Platina (record keeping), Vikariebanken (substitute system), and Skola24 Schema (scheduling).
