The Social Services Department is responsible for interventions, support, and services to individuals and families in the municipality. Our activities are mainly governed by social services legislation, the LSS Act, and the Health and Medical Services Act and are to implement measures regulated by these laws. All activities are characterized by the individual at the center to meet the individual's needs. The mission involves a strong customer focus and service spirit.
The position of committee secretary is located in the administration's staff. The staff's mission is to support management and operations and consists of functions in areas such as business development, system management, archives and administration, legal affairs, digitization, and procurement. The staff is led by the deputy director of social services.
RESPONSIBILITIES
As a committee secretary, you are responsible for ensuring that the committee process and case process for the social services board are legally secure and of good quality. The work includes coordinating and planning meetings and sessions related to the committee, compiling invitations, writing minutes, dispatching decisions, and publishing invitations and minutes. You coordinate and allocate incoming cases, inquiries, referrals, etc., and follow up on their handling, as well as check response times and request any extensions. You plan study visits, training, and events for the committee and support the committee's chairman and members as needed.
You are responsible for registry management and mail handling related to the social services board's area of responsibility, as well as support and training for case officers in the municipality's case management system Ciceron.
The work also includes coordinating and administering other meeting forums such as the municipal pensioners' council (KPR) and the administration's union cooperation group. You also coordinate the administration's overall data protection group and are responsible for the administration's Article 30 register. Handling of registers, user surveys and questionnaires, as well as some case handling, also occur.
The role requires a lot of contacts and collaboration with other functions within the staff, the administration, and the municipality, such as case officers, managers, other committee secretaries, etc.
QUALIFICATIONS
We are looking for someone with post-secondary education, preferably in administration, public administration, or equivalent work experience deemed relevant to the assignment. You have experience in qualified administrative tasks. It is desirable that you have experience working in a politically governed organization and knowledge of basic legislation such as the Local Government Act, public access and secrecy, administrative law, and GDPR. In addition, you have a very good ability to handle Swedish and very good data skills.
You organize and plan your work well, set time frames, and meet deadlines. You handle stress constructively and maintain a good mood under pressure and setbacks, and focus on the right things. You work well with other people and relate to them in a sensitive and smooth manner. You can adapt and find solutions through a non-prestigious focus on the common goal, and you can develop and learn new things in response to changing requirements, conditions, or circumstances.
