ABOUT THE POSITION

Do you thrive in a leadership role with broad responsibility and great variety? Gefle Student Union is now looking for an administrator/operations coordinator who wants to lead our organization and develop our work to strengthen the voice of students. Working at Gefle Student Union means being part of an engaged organization with close contact with students, the University, and local actors. Gefle Student Union represents approximately 19,000 students at the University of Gävle. We are a member-driven organization that works to strengthen students' interests towards the University and organizes student influence at the institution.

JOB RESPONSIBILITIES

In the role of administrator/operations coordinator, you will be responsible for the work environment and support for all paid staff. Currently, the office consists of 6 employees, of which 5 are paid. The goal of the role is to provide Gefle Student Union with continuity and enable long-term plans for organizational development. You are solely responsible for the office and formally report to the Chairperson.

As an administrator/operations coordinator, you will have the following areas of responsibility:

  • Collaboration with external organizations and companies
  • Continuity in operations and coordination: Ensure continuity and coordination in operations.
  • Responsible for ongoing bookkeeping, record-keeping, and handling invoicing and payments
  • Manage the membership register and take minutes at board and council meetings
  • Staff the office during opening hours, acting as a face to visitors, members, and students
  • Support the presidency and board with planning and implementation of projects

WE ARE LOOKING FOR YOU WHO

  • Has experience in administration, bookkeeping, and leadership
  • Has a good ability to structure and prioritize work independently
  • Has knowledge of non-profit organizations and public authorities/higher education institutions is highly meritorious
  • Has good knowledge of Swedish and English

We are looking for someone who enjoys working on the development of their workplace and with people. Perhaps you have been a manager or held a leadership role in previous work, but above all, you are used to coordinating projects and communicating.

In this role, a very good ability to communicate in Swedish, both spoken and written, is required, as well as a good ability to communicate in English since we have international students at the University of Gävle.

To manage the tasks, a good ability to prioritize, organize, and follow up within the area of responsibility is required.

To succeed in the role of administrator, we see that you have an academic background at the university level in, for example, human resources, economics, political science, or other relevant education that the employer assesses as equivalent.
