Staffing Coordinator for the Staffing Unit, Social Services Administration

The Staffing Unit belongs to the HR area within the Social Services Administration, working with all HR-related matters. Together within the area, we handle recruitment, staffing, schedule control, occupational health and safety, payroll, rehabilitation, leadership – and everything related to the operations and managers' assignments. The HR area aims to be a reliable support function, and we are proud to support our operations.

The Staffing Unit handles the appointment of hourly substitutes for all operations within healthcare and social care. Our clients include nursing homes, home care services, social psychiatry, LSS (support and service for persons with certain disabilities), and restaurants. We work hard to help everyone. This means we strive to meet the needs of all units for substitutes around the clock, year-round.

One of our employees in the Staffing Unit will take leave after the summer, and therefore we are looking for a new colleague to join our team. RESPONSIBILITIES

As a Staffing Coordinator, the main focus is on finding staffing solutions and moving personnel around to provide our citizens with the best possible help. Your day will primarily involve staffing shifts within elderly care and disability services. You will have daily contact with managers, team leaders, and substitutes to fill shifts at the units and ensure there is sufficient staff. We mainly cover short-term absences due to illness and VAB (childcare backup), but also fill shifts for planned activities such as training, meetings, and vacations.

The phone will be your best friend! We handle incoming calls, emails, and chats. The task is to ensure that the right hourly substitute with the right competence is in the right place at the right time. It is like a giant puzzle where we must also take into account, among other things, the Working Hours Act. Sometimes we cannot find an available substitute, and then we find other solutions, such as moving substitutes around and rearranging the puzzle.

Since we work for our operations and our citizens, it is important that we deliver good service in all different situations. We work when our operations need help, which means we are scheduled Monday-Sunday, every day of the year. Sometimes you start early and open at 06:30, and sometimes you close and finish later at 17:15. We also work weekends occasionally, which are scheduled and divided among colleagues.

Here, you will get a broad introduction to HR work within the public sector and the opportunity to develop your competence in staffing and operational support.

QUALIFICATIONS

We imagine that you might be a newly graduated HR professional or have other education or experience that we consider relevant, and want to start your journey within the HR area. A foundation in staffing for healthcare and social care is a strong starting point. And that is what we can offer.

To thrive as a Staffing Coordinator, it is important that you are a problem solver, preferably a pedagogical one. We know that there can be high pressure and a lot to do in certain periods, and you need to find challenges fun. Since you will be working with people, we want you to be good at communicating. You must also be solution-focused and able to see opportunities in what others might see as problems. We often need to think outside the box, and it should not feel burdensome but rather challenging and fun. Creativity is key!

We work in the systems Timecare pool/TimePlan, so it is good if you enjoy IT systems and understand what good system support can achieve. A requirement for this position is very good knowledge of Swedish, both spoken and written, as much of our communication takes place via email and chat.

Your new colleagues are a mixed group with various expert competencies. We handle our challenges by working together, asking each other for help, drinking coffee, and laughing.

Employment type: Fixed-term employment.
