Your responsibilities and tasks

Your duties as a Document Controller/Registrar include, among other things:

  • handling security-classified documents and signal security in accordance with current procedures,
  • mail handling,
  • registration of both open and confidential documents,
  • quality assurance and follow-up of the agency's information management.

As a Document Controller/Registrar, you provide support and actively participate in the ongoing development work within the information management area at the Swedish Civil Contingencies Agency. You provide user support for case and document management, both regarding system support and regulations. There are good opportunities to influence the agency's working methods within the information management area. The position includes both support and training for case handlers.

The Swedish Civil Contingencies Agency works actively with digitalization, and the Information Management Unit is leading and driving this work. The content of the position may change over time, based on new requirements and additional tasks for the unit.

Your knowledge and competencies

We are looking for you who have:

  • Education as a Document Controller/Registrar or other education/experience that the employer deems equivalent.
  • Knowledge of laws and regulations for handling both open and confidential information.
  • Experience within registry administration in public sector operations.
  • Experience working in case and document management systems.
  • Experience handling security-classified documents.

It is meritorious if you have:

  • Education in and experience working with signal security.
  • Experience from government operations.

We are looking for you who have a good ability to quickly shift focus between different tasks, while maintaining a holistic perspective, even under pressure. You appreciate working based on routines and have a knack for developing routines and processes. Since you will work in environments with security-classified information, very high demands will be placed on integrity, judgment, and security awareness. We place great importance on your personal qualities.

About the employment

We offer you a permanent full-time position starting with a probationary period.

Your place of work will be in Stockholm, and travel within the employment occurs.

Most of our positions involve placement in a security class. Swedish citizenship is usually required. For placement in a security class, a security investigation with register check will be conducted before employment according to Chapter 3 of the Security Protection Act. Most employees at the Swedish Civil Contingencies Agency are war-placed.

About us

The position is located in the Information Management Unit, which belongs to the Business Support Department. The unit's task is to direct, develop, manage, and follow up on the registration, handling, release, and storage of the agency's information. There are three functions in the unit, and the position as Document Controller/Registrar is placed within the Registry function. In total, we have just over 20 employees in the unit, located in both Karlstad and Stockholm.

We have activity-based offices where you can choose your workplace based on your own needs. By agreement, there may be an opportunity to work part of the working time remotely. We also offer the opportunity to take wellness hours and you receive a wellness allowance. For those employed by the state, there are also favorable holiday conditions.
