About the position
The Healthcare Administration area brings together the hospital's medical secretaries, administrators, and executive assistants to ensure a well-functioning administrative operation and to develop administrative processes.
The position is located at the Medical Unit of Endocrinology in Solna, which provides highly specialized care in areas such as diabetes, thyroid diseases, and diseases of the pituitary and adrenal glands. The unit also has a profile area in the diagnosis and treatment of rare endocrine diseases and provides care in close collaboration with research, education, clinical genetics, the Karolinska University Laboratory, and SciLifeLab.
As a medical secretary with the role of executive support, you are an important administrative support to the unit's section manager, who is responsible for approximately 25 doctors. You work, among other things, with personnel administration in Heroma/Tessa, documentation and administrative cases, planning and coordination of meetings, minutes and protocols, as well as IT, contract, and financial administration.
In the long term, the role may also include responsibility for the unit's internal web pages and the development and streamlining of administrative routines. Medical record writing is also included as part of the position.

Qualifications
Requirements:
- education in healthcare administration, medical secretary/healthcare administrator education equivalent to at least 80 higher vocational education (KY) points/400 higher vocational education (YH) points, or post-secondary education as a doctor's secretary/medical secretary
- documented basic education in disease classification
- good knowledge of medical terminology
- very good IT skills in a Windows environment, e.g., Office 365
- very good knowledge of Swedish and English, both spoken and written.
Merits:
- previous experience in the role of executive support or similar within Karolinska University Hospital
- knowledge of or experience in personnel administration, preferably in Region Stockholm's systems such as Heroma, Clockwork, Raindance, and EK
- education in Supervision within Work Integrated Learning (VIL)
- good familiarity with and experience of the medical record system TakeCare
- experience in improvement work and/or project management.
