Description/Responsibilities

As an Institutional Administrator, you will be part of the administrative team at the department, providing operational and administrative support. You will have the opportunity to work in a broad role alongside engaged colleagues and to learn new knowledge and skills.

The duties will consist of financial administration, some HR administration, and other common administrative tasks at the department.

Financial administration includes, among other things, invoice processing, registry maintenance, and accounting coding. You will assist with honorarium management, expense reports, and other financial tasks arising from operational needs.

Other administrative duties include archive work, mail handling, card access management, meeting administration, and internal communication. Personnel administrative tasks are also included, such as handling the department's assistant employment contracts, as well as other HR administration, such as LAS notices and coordinating onboarding/offboarding processes. The duties and the emphasis on different parts may change over time, and we place great importance on the administration being a service-oriented and non-hierarchical team that sees its part in the whole to enable professional support for the operations.

Qualifications

We are looking for someone with at least a high school diploma, preferably in the economic field. You have good knowledge of the Office package and are accustomed to working with administrative systems. The position requires good verbal and written communication skills in both Swedish and English.

We are seeking a flexible, driven, and responsible person who can work independently. You have a good ability to plan and organize your own work. Since the role involves many contact points, good collaboration skills and a high level of service orientation are required. Therefore, personal suitability will be given significant weight.

Experience of a few years in administrative work is required. Experience from similar work in higher education/universities is meritorious.
