Workplace Description

The Faculty of Humanities and Theology's administration consists of nine employees and is centrally located in Malmö, a stone's throw from Möllevångstorget. The administration supports the faculty management and departments regarding education, research, finance, HR, and communication. The administration's main tasks are to:

  • Provide operational and strategic support to the faculty's leadership, departments, boards, committees, and other operations, thereby contributing to the faculty's overall operational goals.
  • Monitor the external environment, analyze, and initiate measures in relation to the operation's needs and the external environment's demands and expectations.
  • Prepare decision-making materials and contribute to the implementation of decisions.
  • Report back to the university and other relevant actors.
  • Contribute to, support, and follow up on regulatory compliance.
  • Act as a link between the departments, the faculty, and the university.

In this position, you will spend a large part of your working time supporting the Malmö Academy of Music and Drama, which is the largest of the faculty's departments. The academy is located at Heleneholm and has been educating musicians and music teachers as part of Lund University since 2007. At the department, there are approx. 230 employees, 400 program students, and 1,000 students in independent courses.

Tasks and Responsibilities

We are now looking for an HR Administrator who has experience in providing administrative support within HR and thrives in the administrative role. Your main tasks include providing support and advice to our operations in various HR-related areas, from preparing different decision-making materials to processing employment matters and leaves. You will work extensively in both our recruitment system and payroll system, but since we are a small faculty, you are expected to be able to provide support in a wide range of questions. Together with two HR Partners, you form a faculty-wide HR team that also works together with other support functions, especially accountants and administrators.

Your tasks include, among other things:

  • Process, advise, and support in employment and personnel administrative matters.
  • Process recruitment and employment matters, including extensions.
  • Prepare decision-making materials for promotions, etc.
  • Handle vacations, leaves, sick leave, expense reports, honoraria, etc.
  • Monitor and handle fixed-term employment and pension retirements.
  • Handle task supplements and payroll liabilities.
  • Be helpful with other administrative tasks that may occur, such as document registration and archiving.

Since the HR function at the Faculty of Humanities and Theology is relatively new, there are many areas for development. This means that the tasks may change based on needs.

Qualifications

Requirements for the position:

  • An academic degree at least at the bachelor's level in HR or education that the employer deems equivalent.
  • Experience in administrative HR work.
  • Basic knowledge of labor law and recruitment.
  • Very good knowledge and experience of working in HR-administrative systems, the Office package, and Adobe Acrobat.
  • Very good knowledge of Swedish and English, both orally and in writing.
  • You are meticulous and have a good ability to work independently, take initiative, prioritize, and structure your own work.
  • Good ability to be service-oriented, non-hierarchical, and flexible, which is shown by your ability to understand and be responsive to the operation's needs while being able to shift focus when conditions change.
  • Very good ability to build good relationships and collaborate with many parties.

The university has a flextime agreement that creates good conditions for balance between work and leisure, and at the faculty administration, there is the possibility to work from home up to 40% of your working time if it works in the operation.

The Faculty of Humanities and Theology in Malmö is one of nine faculties within Lund University and consists of the Academy of Fine Arts, the Malmö Academy of Music and Drama, and the Inter Arts Center. At the faculty, there are bachelor's, master's, and PhD programs in fine arts, music, and theater, as well as a number of courses of varying scope. Doctoral education and research with an artistic orientation and in music pedagogy are also conducted here.
