The primary task of the University Management Office is to provide strategic and preparatory support to the university's management processes. The office works based on the university's goals and vision to coordinate operational planning and follow-up, conduct investigations, carry out operational development, and quality assurance work. This includes the university's authority responsibilities such as document registration, preservation of records, work with internal regulations, a legally secure and clear decision-making structure, and relevant legal matters. The department consists of approximately 30 employees located in Kalmar and Växjö. The office is led by a Department Head.

The Archives and Registry Section is one of the two sections within the office. The section has overall responsibility for the university's archives and registry and provides support in the preservation and disclosure of records. The university's registrars and archivists collaborate in this work and in the development of working methods. The section is led by a Section Head.

Job Description:

The university's Archives and Registry consists of four registrars and two archivists. As a registrar, you will work with registering documents, handling internal and external requests, making assessments regarding sensitive personal data and secrecy when disclosing public documents. You will also provide advice and support to decision-makers and case handlers in these matters. Within the registry and archives, work is ongoing to increase the digitalization of routines and documents.

Qualifications:

Requirements

You must have an academic degree in a relevant field, or a university college degree as a document controller/registrar, or alternatively, equivalent competence in the profession credited through work experience in the field. You must have experience working as a registrar and possess knowledge of the laws and regulations that govern the work.

You have good ability to express yourself in Swedish and English, both orally and in writing.

Preferred Qualifications

  • Experience of document management within public sector operations
  • Experience working with electronic registry/case management systems
  • Experience working with improvement work and development projects

Personal qualities required for the position include very good collaboration skills and the ability to communicate issues within the field with people who do not have your professional competence. You are willing to share your knowledge and place great value on finding solutions together with others. You are solution-oriented, accustomed to taking personal responsibility, and quality-conscious. You have the ability to work with many tasks simultaneously, as well as the ability to drive work forward and deliver agreed results on time. We place great emphasis on personal suitability.

Terms of Employment:

Employment and scope: Permanent position, full-time. The employment usually begins with a 6-month probationary period.

Start date: According to agreement.

Permanent location: The location is Växjö, but travel to Kalmar occurs within the scope of the position.
