Administrator for the Reception Unit – Gävle Municipality

About the Role
The primary task of the Reception Unit is to serve as a common entry point for the Social Board's authority exercise regarding individual and family care. People can contact the unit if they need help in a socially difficult situation or wish to report concerns about someone. The Reception Unit is responsible for receiving, processing, and assessing new reports and applications. If further investigation and support are needed, decisions on investigations are made and handed over to investigation units. In cases requiring urgent protective measures, this is done in close cooperation with internal and external partners.
We are a team of 23 employees, including a unit manager, senior social secretaries, social secretaries, and administrators. You will become one of two administrators at the unit, where you will primarily share common tasks.

Responsibilities
As an administrator at the unit, you will have the opportunity to contribute to important and meaningful social work. You will work with various tasks, and the role of administrator is a crucial central part of the work we do together. A large part of the daily work involves providing administrative support to everyone on the unit.
Your responsibilities include, but are not limited to:
- Registering written concern reports
- Monitoring the unit's functional mailbox
- Handling and registering incoming documents
- Registering decisions and court rulings
- Providing administrative support to social secretaries during the case processing phase
- Handling invoices, orders, and purchases
- Organizing physical files and archives
- Collaborating with cooperation partners, internal departments within the municipality, other authorities/municipalities, and citizens
In this role, you may also need to support other units within the social services with administrative tasks during absences or when other units require extra support.
Qualifications
To be considered for the position, you have:
- A high school education in administration or economics, or other education/experience deemed equivalent by the employer
- At least two years of experience in administrative work within the public sector or authorities
- Experience in invoice handling
- Very good computer skills and experience working with various IT systems
- Very good knowledge of the Swedish language, both spoken and written
- A valid B driving license
Experience with Treserva and Proceedo is considered an advantage.
