About the workplace
Bernadottegymnasiet and Katrinelundsgymnasiet together form Sweden's largest elite sports high school. The schools collaborate closely, with a total of approximately 1,300 students, about half of whom are elite athletes. One of our missions is to provide these sports talents with excellent opportunities to combine elite sports training with their studies. Students at Katrinelundsgymnasiet and Bernadottegymnasiet study economics, social sciences, technology, and natural sciences. In the autumn term of 2025, the Sales and Service program was also launched. We also have hearing-impaired classes. At our schools, you will meet dedicated and knowledgeable colleagues and students.

Job Responsibilities
As an administrator and scheduler at IMA, you are not just a person behind a screen; you are the heart of our operations. The role is a unique combination of student administration, personnel administration, and strategic scheduling. You work at the center of events and serve as the natural link between school management, teachers, and students.
Your daily routine involves making logistics work, but with a clear pedagogical purpose. By creating timetables and efficient administrative flows, we improve the quality for our students.
Your main responsibilities:
- Scheduling. Responsible for building and maintaining timetables that work for both individuals and groups, with an understanding of the specific needs of IMA students.
- Student Administration. Handle everything from admissions and grades to attendance and documentation.
- Personnel Administration. Support management with personnel-related issues, substitute handling, and reporting. You will work in our payroll system, Personec.
- Business Development. Actively participate in pedagogical discussions. We want you to use your administrative perspective to suggest improvements that create an even better school.
- Collaboration. Be an accessible and secure adult in interactions with our students and an invaluable partner for our teachers.
Qualifications
To thrive in this role, you need to be someone who gains energy from solving problems. You are structured enough to handle complex computer systems, but flexible enough to change plans when conditions change. You thrive in a daily routine where multiple issues are ongoing simultaneously and have the ability to switch between different tasks without losing structure or quality.
We are looking for someone who:
- Has several years of experience in qualified administrative work, preferably within schools or public sector operations.
- Is a proficient user of scheduling programs and administrative systems such as Personec, IST, Extens, and Skola 24.
- Has good communication skills and enjoys collaborating with different professional groups.
- Has a genuine interest in the target group within the Introduction Program (IMA). You understand that behind every number and schedule lies a student's future.
- Has post-secondary education in administration, personnel administration, payroll, school administration, or other education deemed equivalent by the employer. Alternatively, several years of work experience in qualified administrative work relevant to the assignment.
