Your New Role

We are currently seeking an experienced and self-sufficient Administrative Coordinator for a long-term consultancy assignment with a government agency in Stockholm.

In this role, you will have a central function where you support managers, operations, and projects with qualified administrative assistance. This assignment is perfect for you who thrive in a varied daily routine, have high integrity, and are motivated by creating order, efficiency, and excellent service.

As an Administrative Coordinator, you will primarily work with:

  • Support for management through calendar management, prioritization, and follow-up of activities
  • Planning and coordination of meetings, conferences, and business travel
  • Booking of premises, travel, and accommodation
  • Document management, meeting minutes, and case administration in digital systems
  • Basic financial administration such as invoice processing, orders, and budget follow-up
  • Coordination and follow-up of project administrative tasks
  • Management of project documentation and schedules
  • Professional communication with internal and external stakeholders
  • Administrative support to operations in daily work

Assignment Scope: Full-time, 100%
Employment Type: Fixed-term employment as a consultant via JobBusters.
Salary: 30,000 - 34,000 SEK/month depending on experience.
Start Date: Immediately.
End Date: 2027-05-31, with possibility of extension.

To be successful in this role, you need

  • Documented experience in qualified administrative work
  • Very good proficiency in the MS Office suite and digital administrative systems
  • Experience with document management, registration, and case administration
  • Experience with basic financial administration and invoice processing
  • Experience in planning and coordinating meetings, conferences, and travel
  • Very good communicative skills in both spoken and written Swedish
  • Experience handling confidential and secret information
  • Basic understanding of the public sector or authority work
  • Experience in project administration and coordination
