At Prosper Electronics, we are looking for a new employee as a Logistics and Project Administrator.
In the role of Administrator within logistics and projects, you are responsible for ensuring an efficient order flow from customer order to delivery, as well as project management towards our factories. You act as a central contact point between customers, the factories, and internal functions, with a focus on high service levels and good structure.
Main Responsibilities
Order Processing & Customer Contact:
- Receive, register, and process customer orders according to established procedures.
- Confirm orders to customers and ensure accurate information.
- Maintain ongoing dialogue with customers regarding order status, delivery, and any changes.
- Contact customers to determine delivery methods and terms.
- Handle customer cases, including complaints and delivery discrepancies.
Logistics & Delivery Planning:
- Ensure that the correct factory receives accurate production and delivery documentation.
- Coordinate deliveries together with the logistics center in Hong Kong.
- Follow up on deliveries to ensure they are sent on time.
- Handle changes in the delivery schedule (e.g., delays or cancellations).
- Update the business system with correct order status.
Documentation & Administration:
- Responsible for delivery documentation such as invoices, delivery notes, packing lists, booking forms, certificates of origin, and certificates of conformity.
- Ensure that documentation is correct and complete.
- Ensure that relevant documentation and information are communicated to the HK hub for delivery.
Reporting & Follow-up:
- Update weekly delivery reports.
- Provide feedback to customers with order status and forecasts.
- Follow up on order books.
Project Coordination & Internal Support:
- Handle logistical tasks according to existing role distribution.
- Participate in projects and support the team as needed.
- Responsible for following up on projects with involved factories and reporting back to the sales team.
- Be available via phone for customer inquiries.
- Handle dialogue with customers in case of delays or problems.
- Send samples to customers.
- Over time, you will have the opportunity to influence logistics and workflows.

- Service-oriented with experience in customer contact.
- Confident in handling customers in all situations.
- Structured and meticulous.
- Proactive and solution-oriented.
- Social and engaged within the team.
- Works independently and within a small team.
- Accustomed to working at a high pace with multiple parallel tasks.
Competencies
- Experience in logistics, order processing, or customer service.
- Good system proficiency (preferably Fortnox, Cirrus, and similar).
- Good knowledge of Excel and Microsoft Office.
- Fluent in Swedish and good command of English in both speech and writing.
- Strong administrative skills.
- Knowledge of Chinese is a plus.
