Administrator for Parental Leave Substitute at the Department of Mechanical Engineering

The Department of Mechanical Engineering at Chalmers harnesses the power of people, society, and technology to drive the transition towards a sustainable future. Do you want to work in a dynamic and international environment where you can combine administration, service, and technology? We are now looking for an administrator for a parental leave substitute until 2027-08-31. This is a role with great variation and many points of contact.

About the Role

As an administrator with us, you will have a central and appreciated role where you support both education and research activities. You will work closely with researchers, teachers, doctoral students, and external guests, becoming an important part of ensuring that everyday operations run smoothly, primarily for three of the department's twelve divisions.

You will also work in our Virtual Development Laboratory (VDL), a lab equipped with technology for research collaborations and meetings.

Your Responsibilities

Educational Administration

  • Reporting exam results in LADOK at undergraduate and advanced levels
  • Administration of thesis and candidate projects.

Events and Academic Ceremonies

  • Practical support at licentiate seminars and defenses
  • Planning and ordering of catering and floral arrangements, for example

Virtual Development Laboratory (VDL) – Technology

  • Instructing and guiding users (doctoral students and opponents) in the system during licentiate seminars and defenses when presentations take place in the venue

Operational Support and Service

  • Support in daily administrative work
  • Purchasing office supplies, travel and accommodation bookings, ordering access cards, and other varied services

We are looking for someone who

  • Has experience in administrative work
  • Has a strong sense of service and enjoys a supportive role
  • Is structured, self-driven, and solution-oriented
  • Has good collaboration skills and enjoys many points of contact

The role requires good administrative skills, collaboration abilities, and relational competence, as well as the ability to work both independently and together with colleagues.

Qualifications

  • Ability to work in systems such as Proceedo, Chalmers 360, Office Suite, and ODR (Open Archive for Student Works)
  • Familiarity with LOU (the Public Procurement Act)
  • Experience handling technical equipment at the user level
  • Good Swedish and English in speech and writing
  • Experience with LADOK is an advantage

Personal suitability will be given great importance.

Employment Type

Fixed-term employment full-time until 2027-08-31, starting as soon as possible or by agreement.
