Assignment Description
The organization is responsible for the operation and development of a critical infrastructure system and works to ensure that the operations are safe, sustainable, and cost-effective both now and in the future. The organization is a government agency with approximately 1400 employees, the majority of whom work at the head office. There are also regional offices in several locations across Sweden.
The organization has signed a lease for a new head office in a larger office building in the Stockholm region. The premises cover approximately 50,000 square meters, and the purpose is to develop a modern office in an area with good services and communications.
For certain parts of the premises, the organization will act as the builder and be responsible for design and completion according to applicable regulations. Move-in is tentatively planned for the beginning of 2030.
The assignment will be carried out by an external consultant.
Role and Profile
To be suitable for the assignment, the consultant should have good knowledge of relocation and logistics processes as well as experience in office adaptations. The tasks are both practical and administrative.
We are looking for a person with strong drive who can initiate activities, achieve results, and take responsibility for their work. The role requires good collaboration skills and the ability to create engagement and consensus. You should also have a holistic perspective and be able to make well-founded priorities based on complex information.
You understand how different parts of projects and operations are interconnected and work systematically with common methods and approaches. Good pedagogical skills are also important to explain complex relationships clearly.
Responsibilities
The assignment includes, among other things:
- Operationally responsible for the sub-project's timeline, budget, and results
- Plan, follow up, and report the project's progress to the main project manager
- Collaborate with other sub-project leaders and internal representatives on issues related to relocation and logistics
- Identify and manage risks according to the organization's project management routines
- Map existing lease agreements and current locations of operational units to plan the move
- Plan the inventory of existing furnishings, lighting, AV, and IT equipment to identify moving volumes and opportunities for reuse or disposal
- Develop logistics plans for transport, access routes, and handling in both existing and new premises
- Prepare procurement documents according to public procurement for relocation and logistics services
- Support the procurement function during bid evaluation
- Plan and coordinate orders, deliveries, and installations
- Be responsible for communication related to the move together with the project's communication function
- Plan and lead logistical activities related to deliveries, assembly, and relocation
- Be responsible for goods reception until the regular operational organization is established in the new premises
- Participate in project meetings and report the status of the sub-project
- Continuously update project status in the organization's project tools
- Prepare the final report for the sub-project regarding results, timeline, and budget
- Ensure handover to the operational and line organization
Mandatory Requirements
- At least 10 years of experience in the role of sub-project manager or equivalent role
- Experience with at least 2 large relocation & logistics projects that included IT workplaces in the last 5 years in the role of sub-project manager or equivalent role. At least 1 project must be of a technical nature; such as labs, IT server rooms, or cross-connect rooms. *Large relocation and logistics projects = relocations involving at least 600 employees and 12,000 square meters in a property
- Experience in developing procurement documents for relocation and logistics procurements according to LOU and participating in bid evaluations in at least 3 projects
- Experience in goods handling including planning of inbound and outbound deliveries
- Experience working with a digital inventory tool in connection with relocation and logistics projects
- Experience with at least 1 project containing security-protected classified information in the last 5 years. The project must be of such a level that the assignment can be verified (described briefly based on what is possible from an information security perspective and the client can be mentioned by name).
Desirable Requirements
- Experience in relocation and logistics planning that included the development of relocation instructions for the moving company
- Experience in relocation communication in connection with relocation projects. The experience should include work with:- Development and presentation of internal communication materials to employees before, during, and after the move- Development of relocation instructions and checklists for employees- Acting as support for managers and key personnel
- Experience working with:- Inventory of existing furniture and equipment- Decisions on reuse, new purchases, and disposal- Logistics regarding storage and phased delivery/move
