The Health and Social Care Inspectorate (IVO) is growing and is now looking for 1 to 2 registrars for the registry. The recruitment includes positions based in Malmö.

About the job

Your main tasks as a registrar will be to:

  • Classify and register in IVO's electronic case and document management system Public 360.
  • Ensure that confidential documents are handled and registered in accordance with applicable laws and regulations.
  • Handle the release of public documents upon request from individual citizens, other authorities, and the media.
  • Manage internal and external inquiries related to documents and document management.
  • Together with other registrars, provide advice and support to other staff at the authority regarding registration and handling of documents.
  • Close and archive documents.
  • Receive calls from the media and from individuals with ongoing cases.
  • Handle mail.

Other tasks may also occur. IVO is an evolving organization, and the work area may change based on new assignments and priorities set by the authority. We are constantly developing our methods and working practices, which means that in the role of registrar, you need to be development-oriented and flexible to adapt to changing conditions.

The positions are permanent employment with a six-month probation period based in Malmö. Start date is according to agreement.

Qualifications

We are looking for someone who has:

  • Completed high school diploma.
  • Experience working as a registrar or other experience deemed equivalent by the employer.
  • Good knowledge of the Swedish language.

To succeed in the role, you need to be service-oriented, flexible, and responsible. It is also important to be structured and meticulous, with the ability to work independently while also appreciating close collaboration with others. You need to be accustomed to working via teams since your colleagues are located throughout the country. By being secure in your professional role, proactive, and able to make sound decisions, you contribute to efficient work and a positive work environment.

To be considered for employment, you must meet high standards regarding judgment, security awareness, and suitability.

We consider it an advantage if you also have:

  • Documented registrar training or similar that IVO finds relevant for the position, e.g., archival science.
  • Knowledge of laws and regulations governing document management within public administration.
  • Experience in registration in modern case and document management system Public 360.
  • Experience working with the release of public documents.

Workplace description

The registry consists of four units that work closely together and are collectively responsible for ensuring that incoming documents are handled in accordance with the requirements and regulations applicable to a government authority. An important part of the assignment is also to ensure that documents are released to the public correctly.

IVO contributes to safe healthcare and social care. The mission of the Health and Social Care Inspectorate (IVO) is to contribute to healthcare and social care that is safe, of good quality, and conducted in accordance with laws and other regulations through supervision and licensing.

The authority is characterized by a strong commitment as well as a broad and deep knowledge and understanding of healthcare and social care in Sweden. We exist for the benefit of care and social care recipients.

The authority has about 800 employees. The supervisory work is carried out at six regional departments across the country. The departments for licensing, analysis, planning and communication, and operational support are located in Stockholm, as is the director general's office.
