Do you want to be part of the startup of a new operation and contribute to effective and well-functioning administrative flows? We are looking for a medical secretary with a management support function who wants to be the heart of our newly established clinic, where we together create an environment where good care and service are the focus from the beginning.

The rehabilitation clinic for post-infectious symptoms in Malmö is being established to offer structured and equitable care for patients with long-term post-infectious symptoms such as post-COVID and ME/CFS. The operation starts on April 1st and has a regional mission within the Southern Healthcare Region.

The clinic receives individuals over 18 years old with at least six months of symptoms after infection or other long-term and complex fatigue conditions, where other somatic or psychiatric causes have been excluded. The patient group often has a complex symptom profile including pronounced fatigue, post-exertional malaise (PEM), pain, cognitive difficulties, and reduced functional ability. The work is team-based and interprofessional with a focus on in-depth assessment, initiation of treatment and rehabilitation, as well as planned return to primary care and local rehabilitation resources.

The operation is located in Malmö on the hospital grounds in newly renovated premises and is co-located with other rehabilitation activities.

JOB RESPONSIBILITIES

As a medical secretary with us, you will play an important role with varied administrative tasks focusing on coordination, digital workflows, and patient contact. The role includes a small extent of traditional writing work and instead emphasizes administrative processes, operational support, and also management support functions.

The tasks include case management in digital systems such as 1177, DokIT, Flow Model, and QlikView, visit registration and appointment booking in PASiS, as well as journal administration in Melior. The assignment also includes some reception work together with administrative staff from co-located clinics. In the management support function, you also assist the unit manager with administrative personnel reporting, scheduling, and other HR issues.

You are responsible for administrative coordination and support to the team and collaborate with other administrative staff within the management of Close Care and Health. You have an important role in contributing to and developing workflows and routines together with the team to build a well-functioning and quality-focused operation.

QUALIFICATIONS

We are looking for someone with education in Health and Medical Care Administration 80 credits (KY) or 400 credits (YH) or equivalent medical secretary education with previous experience in the role within healthcare. You have good knowledge of the Swedish language and medical terminology. We would also like you to have previous experience working in PASiS, Melior, 1177, HR window, and the Microsoft Office package.

You are self-driven, structured, and enjoy taking responsibility. You have a solution-oriented attitude and see opportunities instead of challenges. You take initiative, are engaged, and contribute to a good working climate. Great emphasis is placed on personal suitability.

The management of Close Care and Health has existed since January 1, 2025. The management is responsible for grant-funded healthcare operations within close care. This includes mobile teams and specialized palliative care, outpatient services within close care, acute care within close care, 1177 by phone, and some regional common functions. In addition, the management is responsible for the development and follow-up of the transition to close care in Region Skåne. The number of employees is expected to be around 1,000.
