Information Coordinator at Södertörn University Info Center

Södertörn University is an institution in Stockholm that educates, researches, and collaborates for sustainable societal development. Approximately 14,000 students study here across about 80 programs and over 300 courses. Education and research are conducted in the fields of humanities, social sciences, engineering, and natural sciences. The university also offers teacher education with an intercultural profile and police education. Much of the research focuses on issues related to the Baltic Sea and Eastern Europe. We are looking for an information coordinator for Södertörn University's info center. Due to operational needs, we aim to fill this position promptly.

The info center at Södertörn University is an administrative service and support function for everyone at the university; teachers, students, administrative staff, and visitors.

The student department monitors the external environment and drives development at the university in matters within the department's areas and participates in other operational development. In addition to processing cases, the student department provides expert knowledge, guidance, and service to institutions and administration, as well as to students before, during, and after their studies.

At the student department, we work with active employee participation. This means you are expected to contribute to the university's and department's common development.

Responsibilities

As an information coordinator, you are the university's face to the outside world. Your main task is to meet students, employees, and visitors – all with different needs for support and service. This means you will handle many different types of inquiries, sometimes with short lead times. You will provide answers both verbally and in writing, in both Swedish and English. The info center is a complex operation, and you are responsible for ensuring that inquiries are met in the best possible way, both in writing and during physical visits.

The role of information coordinator also includes administrative tasks such as managing exams, handling archiving, conducting inventories, and working with case management.

You will work with various digital tools that support the info center's operations, such as case management systems, switchboards, lending systems, and exam scanning.

Qualifications

  • Relevant academic degree or equivalent
  • At least 4 months of current experience in successful service work directed at students and staff at a university
  • Successful experience in independently driving processes, implementing projects, and working towards quality improvement and routine development in service work
  • Good written and verbal communication skills in Swedish and English, and the ability to adapt your communication to the needs and situations of the inquirer
  • Good computer skills and solid knowledge of Office 365
  • Current experience and proven skills in working with systems for study administration (Ladok), case management, exam scanning, access cards, and key permissions

You should be able to adopt different group perspectives, such as a student perspective and an employee perspective. The work requires great flexibility, and you need to easily adapt to different situations and tasks. You should have good collaboration skills and be structured and meticulous in your work.
