The Education Administration in Stockholm is Sweden's largest administration and is responsible for preschool classes, primary schools, adapted primary and secondary schools, after-school care, and secondary schools.

The administration has approximately 16,000 employees and includes over 150 municipal schools.

The Education Administration's grant function is located within the finance unit and consists of two grant administrators. The function has a central and strategic role in ensuring that the city's schools receive the correct grants, that the grants are used correctly, and that they contribute to the development of operations.

We are now looking for someone who wants to take on the role of grant administrator in a socially important operation.

Your role

The grant function handles a large number of targeted grants from the state, primarily through the Swedish National Agency for Education. The grants are regulated by rules, have different requirements for counter-performance and follow-up, and are crucial for the schools' budgets, forecasts, and operational planning.

As a grant administrator, you have a central coordinating and advisory role. You work both strategically and operationally to ensure that grants are applied for, used, and followed up correctly and efficiently.

Your responsibilities include:

  • responsibility for administration, application, distribution, and follow-up of grants
  • ensuring that documentation, conditions, and counter-performance according to regulations and authority requirements are met
  • monitoring how grants are used in operations and ensuring correct reporting
  • keeping an eye on changes in state compensation systems and analyzing consequences for the City of Stockholm
  • acting as advisory support and sounding board for schools in grant-related matters
  • communicating regulations, requirements, and conditions in a pedagogical and accessible manner
  • producing analyses, statistics, and financial forecasts related to grants
  • developing and improving processes for governance, follow-up, and internal control.

Your qualifications and experience

We are looking for someone who has:

  • a university degree in political science, economics, public administration, or other education that we assess as equivalent
  • several years of relevant experience in qualified administration within public operations
  • experience in processing large data sets, producing statistics, and analyzing financial documentation
  • very good knowledge of Excel
  • excellent ability to express yourself in Swedish, both orally and in writing
  • the ability to read regulations and communicate their content in an accessible way to recipients whose primary tasks are not related to grants.

It is advantageous if you have:

  • experience working with grants from the Swedish National Agency for Education and/or the Swedish Migration Agency
  • knowledge of regulations within the education sector

You take your own initiatives to develop your area of responsibility and work methodically, structured, and carefully.

You have good analytical skills and can quickly familiarize yourself with complex regulations, financial documentation, and large data sets from various systems. You are interested in statistics and understand how data analysis can be used for governance, follow-up, and operational development.

The role requires that you are communicative and have the ability to interpret and convey regulations, requirements, and conditions in a pedagogical and accessible manner to different target groups. You are cooperative, flexible, and take responsibility for the whole, and you are motivated to contribute to developed working methods, good internal control, and strong support for operations.
