Mission of the Operational Area
The Swedish Public Employment Service is now focusing on developing the agency's control operations from a holistic perspective. A new operational area is being established where the agency's control functions will be gathered to jointly drive and develop the agency's control operations. The ambition level is high, especially in terms of preventing and counteracting the exploitation of our welfare systems and the system-impacting organized crime.
The agency's control operations will ensure that public funds are used as intended. The requirements that apply to a job seeker, employer, contracted actor, or other affected operations must be adhered to. The operations are extensive and crucial for the agency to fulfill its mission within the labor market policy area.
In addition to gathering the agency's existing control operations in the new operational area, the operational area will build strategic and cross-agency capabilities to steer, lead, follow up, and develop the agency's control operations.
The new operational area of Correct Payments started its operations on January 1, 2026, and consists of, alongside a common staff for the operational area, five units with a total of about 500 employees.
Mission of the Executive Assistant
Your tasks include serving as close administrative support to the operational area director, managing emails, calendar and meeting bookings, orders, etc. The role also includes providing support to the operational area's management team. Organizationally, the executive assistant is placed within the operational area's staff. The staff of VO Correct Payments is under construction and consists, in addition to the executive assistant, of a head of staff and three operational coordinators.
You will prepare presentation materials, manage record-keeping, write minutes in various forums, and handle other administrative tasks. Your responsibilities will also include managing certain shared SharePoint pages for the department and, together with your colleagues in the staff, handling incoming matters, distributing assignments, and referrals.
You will work in many IT systems, and a prerequisite for success is a high level of digital competence. At times, the work pace is high. This requires foresight and structured working methods. You will work independently in a social role that is based on having high integrity in relation to the director and the management team.
You have the ability to work with different types of issues and relate them to the need for support in daily work. You are easy to collaborate with and have the ability to build and maintain internal and external relationships.
Basic Requirements for the Position
- Several years of experience in qualified administrative support in an executive assistant role
- Approved high school education
- Very good ability to communicate in Swedish in speech and writing
- Very good knowledge of MS Office tools - primarily Word, Excel, and PowerPoint
Other Merits for the Position
- Experience as an executive assistant for a CEO/Director General or a manager in a leading position
- Experience working in public operations
- Experience in record-keeping and minute writing
- Knowledge of SharePoint and OneNote
- Experience preparing meetings and writing meeting notes
