Team Leader for Reception & Office Services – where service and structure meet!

About the role
As a team leader, you have a central role in service delivery. You ensure that daily operations run smoothly, coordinate staffing and administration, and create the structure that allows the team to deliver high-quality service. The role is both operational and coordinating: you work closely with the reception, drive routines and communication, and are a natural support for colleagues and clients in everyday life.
You thrive in a dynamic and mobile workday where you switch between reception, planning, and follow-up, and you are comfortable moving between areas and floors. You work carefully and systematically, prioritize thoughtfully when the pace increases, and are solution-oriented when challenges arise. In short: you enjoy taking responsibility, creating order, and driving improvements that are noticeable in service every day.
Examples of tasks:
- Staff the reception and perform office service tasks with high quality.
- Coordinate staffing and ensure that daily operations run smoothly.
- Participate in scheduling and resource planning to create an efficient and sustainable workday.
- Collaborate with team leaders and other functions to find smarter ways of working, create synergies, and increase cost-effectiveness.
- Handle orders, service requests, and error reports in relevant systems.
- Code invoices and support billing.
- Participate in projects related to service and workplace development.
- Contact suppliers and follow up on deliveries and contracts.
- Support colleagues operationally and be the first point of contact for questions in daily operations.
- Drive and develop improvements that enhance the quality and efficiency of service delivery.
Who are you?
You are a driven and positive person with a genuine service focus who builds good relationships in everyday life. You work in an orderly and structured manner, are unpretentious and solution-oriented when challenges arise, and communicate attentively and confidently. At the same time, you are flexible and adaptable, thriving in an environment where needs shift and when you can switch between operational work and coordination.
We are looking for someone who has:
- A high school education and several years of experience in a similar role.
- Experience in leading and supporting staff in daily work.
- Very good administrative skills and confidence in digital tools, especially Outlook and Excel.
- Excellent Swedish and English, both spoken and written.
- The ability to read, interpret, and understand contracts, regulatory requirements, and environmental-related documents.
- Experience in follow-up, statistics, and structure in daily work.

About the position
- Employment type: Permanent position.
- Employment rate: 100%.
- Working hours: Monday-Friday 7:30 AM - 4:30 PM.
- Start date: April 1.
- Probationary period: 6 months.
