Administrative Support to Unit Managers in Nuclear Weapons and Radiological Consequences

The Total Defence Research Institute (FOI) is a government agency conducting world-leading research in defense and security to support Sweden's military and civil defense. The research spans several areas, such as underwater, cyber defense, space, electronic warfare, sensor systems, civil defense, CBRNe (chemical, biological, radiological, nuclear, and explosive substances), military platforms including weapons and protection, as well as security policy analyses. FOI's research plays a key role in building Sweden's defense capability.

About the Position

You will work as an administrative support to unit managers and employees working within the area of nuclear weapons and their radiological consequences. You will assist them in various types of operational-related issues, such as personnel administration, financial administration, and communication within the units. The work requires close collaboration with three of the unit's managers and their employees, as well as other support functions in CBRN - such as other unit administrators, department secretaries, finance, and HR. Examples of administrative tasks include:

  • Introduction for employees, thesis workers, and other staff (e.g., guest researchers)
  • Termination of employments
  • Recognition of employees according to routine
  • Minutes from unit meetings
  • Coordination of retreats and other types of meetings (e.g., room booking and catering)
  • Coordination of vacation requests and compilation of vacation lists
  • Support in planning, conducting, and documenting safety rounds
  • Support in incident and accident reporting
  • Work in the project process, bid management, and finance
  • Support in applications for external research funding

The position is located in Kista. Travel within the position does not occur regularly but may happen.

About the Unit

FOI has four locations: Stockholm, Umeå, Grindsjön, and Linköping. You will be employed in the CBRN protection and security department. The department conducts research on threats and protection against hazardous substances, and it includes an office where parts of the administrative support operations are gathered. The office strives to provide the best possible support to managers and employees, and ensure that the work at the agency is carried out according to applicable regulations and routines. Other employees in the office and the office manager are located in Umeå.

Do You Have the Competence Profile We Need?

Requirements

We are looking for someone who has:

  • A complete upper secondary education
  • Very good knowledge of the Office suite
  • Relevant and recent work experience in similar tasks over the past 3 years
  • Experience as an administrator on behalf of at least 2 managers simultaneously
  • Very good language skills in Swedish and English, both spoken and written

You are attentive to the needs of others and have a willingness and ability to help others. Meritorious

It is preferable if you have:

  • Post-secondary education relevant to the position
  • Worked in a government agency
  • Knowledge of regulations and routines within government agencies
