Office Coordinator for Parental Leave Substitute
We make a difference in Swedish healthcare every day. We are now looking for an Office Coordinator for a parental leave substitute for approximately 1 year. In this role, you will be the key person in our daily operations – ensuring that the office runs smoothly, that our employees are happy, and that everyone visiting us is met with a safe, welcoming, and professional environment.
About the Position
As an Office Coordinator, you will have overall responsibility for office operations and employee satisfaction. You are the hub of the office – the one who ensures that everything functions practically while creating a warm and inviting environment for employees and visitors.
Your responsibilities will include:
- Ensuring that the office environment is functional and pleasant, including following up on maintenance requests, liaising with property managers and suppliers, and ensuring that the premises are in good condition.
- Welcoming visitors and providing a professional and friendly first impression, as well as booking meetings and ordering lunches/snacks.
- Participating in the onboarding of new employees and the placement of staff in the office.
- Being responsible for employee engagement activities such as ordering snacks, breakfast, and contributing to the office's aesthetic design.
- Supporting internal events and activities such as conferences, after-work gatherings, and Christmas parties.
- Managing package and mail handling and ordering office supplies.
- Acting as the point of contact for suppliers and property managers and ensuring that office information is disseminated.
- Being responsible for alarm-related inquiries and being the fire safety officer.
- Participating in safety rounds and workplace environment work and following up on incidents and accidents in the office.
- Handling basic financial administration related to the office's cost center.

- Have experience in a coordinating and service-oriented role, preferably as an Office Coordinator, receptionist, service employee, or similar.
- Have a strong sense of service and enjoy creating a pleasant atmosphere around you.
- Are meticulous, structured, and accustomed to juggling multiple tasks.
- Enjoy taking responsibility, driving issues independently, and making things happen.
- Are communicative and confident in your interactions with colleagues, suppliers, and other partners.
- Are comfortable working with digital systems and can easily adapt to new tools.
As a person, you are unpretentious, solution-oriented, and see what needs to be done – and you do it.
