Receptionist and Office Coordinator at MilDef

ABOUT THE POSITION

As an Office Coordinator, you are the spider in the web of daily operations at MilDef's headquarters in Helsingborg, responsible for creating a welcoming impression and ensuring that the office runs smoothly. You will be the first point of contact for visitors and an important support function for all employees. The position is part-time and is scheduled Monday to Friday from 08:00 to 13:00, and you will belong to the organization's HR & Facility team, where community and short decision-making paths characterize everyday life.

RESPONSIBILITIES

In the role of Office Coordinator, you are responsible for ensuring that the reception operates seamlessly and that visitors receive a professional welcome. The work includes managing the company's switchboard, administering access cards, and handling onboarding routines for new employees. In addition to the administrative responsibilities, you will act as the office fixer, which involves everything from receiving mail and placing office orders to ensuring that snacks and lunches are coordinated during client meetings and events.

WE ARE LOOKING FOR YOU WHO

• Has experience in the service industry, for example from hotels, restaurants, or similar coordinating roles.
• Communicates fluently in both Swedish and English, both spoken and written.
• Has good administrative skills and is comfortable handling digital systems.
• It is a merit if you have previously worked as a Receptionist or Office Coordinator.

To thrive in this role, a high degree of initiative and the ability to see what needs to be done before the need arises are required to maintain order and comfort in the office. As a person, you are distinctly social, communicative, and enjoy being a gathering point for employees and guests. The role requires an unpretentious attitude where you gladly help with both high and low tasks, combined with a strong problem-solving ability. Finally, you are a structured team player who maintains a good mood and a high level of service even when the pace picks up.
