Executive Assistant to a Prominent Growth Company in Tech

Are you a structured problem solver who enjoys staying one step ahead? We are now looking for a loyal and quick-footed Executive Assistant to act as the CEO's extended arm at one of the prominent growth companies in tech. This is a long-term consulting assignment with good opportunities for extension.

ABOUT THE POSITION

Our client is a successful, publicly traded tech company in Stockholm that is redefining how companies scale using data and AI. The company's CEO is deeply engaged in the business, and the role of the PA is central to ensuring his day runs smoothly. As a consultant, you will be a key person managing everything from strategic calendar planning to practical daily logistics.

You will be based at the client's modern office on Kungsgatan in Stockholm. The role is operational and requires a high presence on-site. Working hours are primarily 08:00–17:00, but the role requires flexibility to be available by phone even after office hours if urgent issues arise.

This is a consulting assignment, which means you will be employed by Academic Work and work as a consultant for the client company in question. The assignment is long-term.

JOB RESPONSIBILITIES

Your goal is to free up time for the CEO by proactively owning and managing their logistics. Your tasks are specified below.

  • You prioritize meetings, handle correspondence, and ensure the schedule is optimized.
  • Planning and booking of travel as well as preparation of meeting materials.
  • Manage daily logistics and perform practical errands in and around the city.
  • Handle sensitive material with full discretion, including finance and administration.
  • Contribute structure, speed, and calm in all situations, allowing the CEO to focus on what is most important.

WE ARE LOOKING FOR YOU WHO

  • Have worked for a few years as an assistant, coordinator, or in a similar role where you supported individuals in leadership positions.
  • Have excellent knowledge of Swedish and English, both spoken and written.
  • Have a valid B driver's license (you will have access to a car through the assignment for errands).
  • Have technical maturity and are used to working in various systems.

It is a plus if you have

  • Interest/knowledge in AI, Cloud Code, and ChatGPT.
  • Knowledge of Google Workspace and Notion.
