Seeking Administrator/Finance Assistant

We assist our clients with a complete range of services in energy efficiency and control systems in commercial properties, from initially reviewing and inspecting a property's energy efficiency with protocols on what needs to be done to renovation work regarding control systems as well as ventilation, heating, and cooling systems. We also offer remote optimization services via our cloud services, from simpler tasks like replacing control units for district heating to complex total contracts in heating, ventilation, and cooling.

About the Position

Do you enjoy varied tasks and the opportunity to influence your work? We are in strong expansion and are now looking for someone who wants to work with administration, service, and finance. You will play an important role in the company where you will be able to help develop both the company's and your own work. The main focus of the position is to manage ongoing invoicing, project planning, and other daily administration as well as providing internal and external service to employees and clients.

Responsibilities

  • Invoicing, order management, and administration.
  • Handle incoming calls and emails.
  • Purchasing of inventory items, ensuring the stock contains what is needed.
  • Be responsible for the company's vehicle fleet administratively.
  • Assist technicians as needed when they are in the field with starting orders and handling orders, etc.
  • Updating price lists in the business system SoftOne (everything is in the same system: invoicing, finance, price lists, inventory, etc.).
  • Monthly reporting on projects and service jobs and following up on service work.
  • Daily follow-up on time reporting for all technicians.
  • Planning of incoming orders and projects.
  • Be responsible for our contracts and when fault reports and calls come in from contract customers.
  • Ensure that the company's website is kept updated together with the IT consultant.
  • Keep the company's Facebook and LinkedIn updated.
  • General office tasks.

Your Background

We see that you have a couple of years of experience in administration/invoicing where you have worked with similar tasks. It is also advantageous if you have previous experience in service professions. To succeed in the role, you should also have very good computer skills, primarily within the Microsoft Office suite. Experience with the business system SoftOne is also a plus. You speak and write fluently in Swedish.
