Administrative Assistant for Emergency and Foster Homes

The Social Administration of Stockholm City has a comprehensive and coordinating role for social services related to individual and family care and the area of disabilities. Here, we create good conditions to meet residents in need of social services support. In close collaboration with the district administrations, we contribute to a modern, digital, legally secure, equal, and knowledge-based social service, and we have a strong focus on development. Within the administration, a wide range of support measures are offered to the city's residents, and the offerings change based on the needs of Stockholmers and the wishes of the district administrations. The work often takes place in close cooperation with other authorities, civil society, and the business community. The Social Administration is also responsible for the city's serving and tobacco permits and conducts supervision.

Your future workplace is located in Farsta center, near the subway.
Your Role
You will independently be responsible for the administration of one of the workgroups and be part of a unit-wide administrative team with three other administrative assistants covering the entire area. The team meets for meetings once a month and has some common points of contact. You will have direct supervision from the team leader and report to the unit manager.
The work as an administrative assistant is a multifaceted position with many different tasks. You will be the face of the unit in various contexts, which involves contact with many people, both internally within the city and externally.
The role is perfect for you if you enjoy administration, collaboration, and coordination in a constantly changing environment.
Commonly Occurring Tasks Include
- Managing incoming documents related to the work within the unit
- Following the work occurring in the workgroup and providing administrative support such as registration in Paraplyet, registration in common lists, requesting and administering background checks from various authorities, communicating decision protocols from the Individual Committee, monitoring various types of documents and dates, and archiving.
- Handling purchases and invoices in the city's financial system Agresso
- Supporting managers with administration of new hires, farewells, and joint meetings
- annual inventory and archiving
- standard administrative tasks
There is a significant focus on background checks, a task that is dominant for this position. The work with background checks is very important for the foster home investigation and the control that the unit conducts. This means that a great responsibility lies with this position to administer a large number of background checks daily. The work requires a high ability to work independently.
Your Competence and Experience
For this position, you are required to have:
- at least a high school diploma, preferably with an economic focus or other education that the employer deems equivalent
- at least three years of current work experience as an administrator/administrative assistant within an authority or public sector
- current experience working as an administrative assistant within government social services, children, and youth.
- experience in administrative work within family care
- experience collaborating across the boundaries between operations
- very good documented IT skills and experience working with various programs in the Office suite, especially Excel
- experience with financial systems and invoicing work
- good ratings in administrative ability and a high capacity to structure your work independently
- good communication skills in Swedish, both spoken and written
It is meritorious if you have
- experience working within Stockholm City.
- Experience with social systems, Paraplyet
You have a good ability to plan and prioritize your work in a structured way. Taking instructions is easy for you, and you enjoy taking responsibility and driving your own work forward. You adapt easily to changing circumstances and see opportunities in this.
As the work involves many contacts both internally and externally, you need to be collaborative and have an easy time building good relationships. Being service-oriented comes naturally to you, and you have the interest, willingness, and ability to help others, where you do your utmost to deliver solutions. In the role, it is important to act in accordance with decisions made, operational plans, goals, policies, and guidelines, and to be aware of goals and quality standards.
Other
The Emergency and Foster Homes area, as well as short-term stays, consists of four units. Of these units, one focuses on recruitment, training, and mediation of emergency and foster homes, and one unit focuses on support and guidance for the same target group as well as for adoptive families.
Great emphasis will be placed on personal suitability, motivation, and commitment to the position. Selection tests may be part of the recruitment process. You will be informed in connection with any interview.
