The Department for Operational Support and Development leads the administration's work with archive issues, data protection work, registration, and committee secretariat.

Within the department, four units operate with responsibility for IT and information security, HR, Booking and Association Support, and the sports strategic issues with communication and events.

To meet our mission regarding registration, archive, and information security issues, we are now looking for a registrar with a coordinating role in information management.

Your role

As a coordinating registrar, you will play a central role in ensuring a structured and transparent document and case management in accordance with applicable legislation.

You will work with information management from a broad perspective where you are responsible for registration, archives, and coordinating the administration's work with data protection issues. You will ensure that routines exist and are followed correctly according to current legislation.

Your role includes, among other things:

  • registration in our document and case management system eDok (Platina)
  • ensuring that incoming and created documents are handled correctly and in the case of the release of public documents
  • being an object specialist in eDok and developing the administration's use of eDok
  • being the contact person for the city archive and the administration's operations and ensuring that routines for archive management exist and are followed
  • coordinating the administration's work with data protection and being the first-line contact person in these matters
  • coordinating the team that works with information management
  • conducting training and introductions in the area of information management
  • being a support in change work within information governance.

A central part of the job is also to coordinate all issues related to the area of information management, develop working methods, and support other employees, raise the administration's competence in the area, and be one of our experts in our document and case management system eDok. You will lead the administration's archive organization in close collaboration with an archive consultant from the city archive.

As support in your assignment, you will have close cooperation with the administration's lawyers, information security coordinators, data protection officers, case handlers, committee secretaries, and archive consultants from the city archive.

Your competence and experience

We are looking for someone who has:

  • registrar training or an academic degree in archive and information science or other post-secondary education that we assess as relevant
  • several years of experience working as a registrar within a public authority
  • good knowledge of the laws and regulations governing information management in the public sector
  • competence in the area of data protection (GDPR)
  • high digital competence, with experience working in a case management system and the Office suite
  • very good ability to express yourself well in Swedish, both orally and in writing.

It is meritorious if you have:

  • experience working with eDok (Platina)
  • experience working with change management
  • experience working with information security
  • experience conducting training and good presentation skills.
