About the position
As administrative support to the management, you are the hub of the management team for VO Emergency Care.
You create structure and order in a dynamic environment by coordinating administrative processes, following up on cases, and keeping governing documents up to date. The role involves close collaboration with the operations manager, unit managers, and other key personnel. You will work with personnel administration, manage the department's SharePoint areas, task management, and development work. The role also includes being the department's archive manager. The assignment requires a holistic view, a sense of service, and the ability to contribute to improvements and efficiency in a fast-paced environment.
Examples of tasks
- Plan and administer meetings
- Coordinate information and communication
- Prepare presentation materials, manage documentation, and record-keeping
- Develop and digitize administrative processes
- Heroma administration for the management team
- Support in IT issues and access administration
The position is a temporary position from March 16, 2026, to March 31, 2027.

Your profile
We are looking for someone with relevant post-secondary education deemed suitable for the position, as well as experience in a coordinating administrative role, preferably as an executive secretary. Furthermore, you have experience with Heroma and are comfortable working with digital tools such as the Office suite. You have a good command of language and an eye for aesthetics in layout. Experience working in a politically governed organization is a plus.
In this role, it is important to be solution-oriented, structured, and detail-oriented while enjoying juggling multiple tasks. You have good planning skills, see opportunities, and always focus on service. You are accustomed to working independently but also thrive in teamwork. As a person, you are flexible, proactive, and have a solution-focused approach. We will place great emphasis on personal suitability.
